DUTIES

Working with the Branch Manager, the Administrator is responsible for all branch accounting, administrative and purchasing activities to achieve maximum profitability and customer service.

In this position, you will be required to:
Determine products and quantities to be stocked and purchased, inventory and office supplies
Responsible for entering new customer information in the computer system
Works with Corporate Supply Chain team to reconcile inventory discrepancies and material disputes
Run Daily Min/Max, Inventory Valuation, and the On-Demand custom reports to make educated and accurate buying decisions.
Accurately enters and maintains branch purchasing information into the system.
Has an awareness of the preferred suppliers and their current pricing, lead-time, rebates and freight policies. Assists salespeople in sourcing and quoting non-stock materials.
Maintains accurate records in HP for all purchasing related transactions, to include Purchase Order entry, expediting and updates on pricing, quantities and lead times, Purchase Order receiving, Supplier Invoice Approval, and the CSM and Debit processes.
Maintain communication with peers in other branches and Corporate to coordinate and take advantage of buying opportunities and share industry knowledge.
Contribute to the team effort of the Akron branch

QUALIFICATIONS

IF YOU HAVE:
At least 3 years of administrative experience.
At least 3 years purchasing experience.
Post Secondary Degree or Diploma or equivalent combination of education and experience.
Experience in plastic, industrial or distribution preferred
Strong math skills
Must be proficient in using Microsoft Office applications (Outlook, Word and Excel)
Outstanding customer focus
A positive attitude and are a team player

Performs order billing function and reviews summary before giving to Branch Manager for approval

Performs purchase order receiving function and analyzes and approves receiving results

Matches purchase order to vendor invoice and gives preliminary approval for payment (final approval by Branch Manager)

Processes cash sales and credit card transactions and maintains detailed log sheets on those transactions

Responsible for petty cash and reconciles local bank statement

Researches and analyzes customer and vendor accounts to solve problems.

Responsible for entering new customer and accounting information into the HP system, which involves referring to the New Customer Form obtained from Inside Sales to enter contact information and assigning the correct salesperson territory number

Screens employment applications for Administrative Assistant position and participates in hiring process

Files customer orders and other branch records

Along with the Branch Manager, responsible for "green initiative," which includes coordination of the branch recycling program (not customer scrap program)

Purchases and maintains inventory of office supplies

Researches maintenance contracts for office equipment and gives information to Branch Manager for final approval

Operates and trains new staff on office machines such as computer, calculator, copier, and fax machines

Participates on the Branch Safety Committee in a contributory and clerical role. If role is clerical only, this task can be performed by the Administrative Assistant.

Coordinates social functions for the branch, which could include keeping a calendar of staff birthdays, anniversaries and other important dates

Answers incoming customer calls as well as greets and assists visitors

Provides friendly and efficient customer service

Opens and routes incoming mail, answers correspondence, and prepares outgoing mail
