Performs entry level work in a training capacity in the acquisition and contract administration section of the Purchasing Division, which may lead to assignment of professional or administrative work in the division. Coordinates various initiatives relating to the procurement process and other programs administered by the Purchasing Division. Works with staff members in collecting data to create informational materials and reports, using such resources as the team purchasing system and requisition tracking system. Performs work related to the purchasing of a variety of commodities and services utilized within state agencies and institutions. Reviews requisitions for purchase for accuracy and completeness; prepares price quotation exhibits; researches specifications and sources of supply; reviews bids; contact vendors initiates addenda when necessary; assures proper registration, insurance and bond evidence for bidders. Prepares reports for awards and bid amounts. Assists in development of standards and specifications for new commodities. Communicates with other staff members within the agency and/or with other state, federal or local government agencies, vendors, public and private entities to relay vital information that is necessary to the agency.
Ability to interact and adapt to various computer software and databases, including but not limited to the Microsoft software package of Word, Access, Excel and PowerPoint. Initially, work is closely supervised, with additional duties, responsibilities and independence of action added as proficiency is demonstrated. Upon satisfactory completion of training requirements, at the discretion of the agency, and in accordance with applicable regulations, the classification may be changed. Training period for position in this classification shall not exceed 12 months.
