Job Description
Title: Grocery/Dairy/Frozen Bulk Department Assistant
Employment Classification: Full-time Regular Employee/Non-exempt
Reports To: Store Manager
Location: Store
Job Summary
The Grocery/Dairy/Frozen Bulk Assistant position is responsible for the successful operation and profitability of the Bulk Department as well as for assisting the Grocery and Dairy/Frozen Managers in the successful operation and profitability of the grocery and dairy/frozen departments. This position also has limited MOD responsibilities.
Responsibilities

Customer Service:
The Grocery/Dairy/Frozen Bulk Assistant position is responsible for ensuring that:
Customer service is the number one priority.
Customers are greeted and serviced per company standards of World Class customer service.
Customer complaints are handled appropriately and per company policy.

The departments are inviting and shopable:
displays are shopable;
the departments are clean;
merchandising is inviting;
all products in displays are in-stock on the shelf.
Products customers want to buy are in-stock.
Special orders are handled appropriately and per company policy.

Bulk Replenishment:
The Grocery/Dairy/Frozen Bulk Assistant position is responsible for ensuring that:
Bulk products are ordered on the proper replenishment day using the SAP program.
Creates separate Purchase Orders (PO's) for bulk and bulk herbs according to company procedure;
Emails bulk orders with PO numbers to Bulk Warehouse.

Stock levels meet store sales by:
scanning holes to determine the reason for the out of stock items;
edits order quantities to reduce out of stocks while minimizing back stock levels.
5. Promptly and correctly shrinks out damaged and expired product using SAP.
6. Special orders are placed promptly by filling out the bulk special order form and
emailing the form to the Bulk Special Orders Warehouse.
7. Mark-downs are managed per company standards

Department Profitability:
The Grocery/Dairy/Frozen Bulk Assistant position is responsible for assisting the Grocery and Dairy/Frozen Managers in ensuring that:
Cost of goods sold is maintained within company standards.
Product is ordered from the correct vendor in order to receive the correct discount and maintain margins.

In-stock conditions meet company standards, including:
good selection;
top 100 sellers per department are in stock at all times unless manufacturer outs, including:
store top sellers;
company-wide top sellers.

Product mix is monitored, including:
regular analysis of department to keep top sellers and discontinue extremely slow movers;
new products are brought in per company policy.
Perishables are rotated and stocked per company standards.
Mark-downs are managed per company standards.
Customer returns handled per company standards.

Management of Department Personnel:
The Grocery/Dairy/Frozen Bulk Assistant position is responsible for assisting the Grocery and Dairy/Frozen Managers with the management of department personnel, including the following:
Assisting with the training of department personnel as assigned.
Following up on assigned tasks.
Working with other department managers to share staff to accomplish tasks as needed on a daily basis.
Communicating any staff issues to the appropriate department manager.

Product Knowledge:
The Grocery/Dairy/Frozen Bulk Assistant position is responsible for ensuring that:
He/she continues to increase product knowledge throughout their tenure, including trainings;
He/she answers customer questions per company standards and policies, including the use of Structure/Function statements and/or statements of nutritional support.
He/she knows what store resources to use to answer customer questions, including:
books;
Customer Literature Files;
company/vendor product information.
Tagging, Facing, Rotating, Ordering, Cleanliness, Stocking, Backstock, and Returns:
The Grocery/Dairy/Frozen Bulk Assistant position is responsible for ensuring that he/she and the department staff are:
Following company policies, procedures and standards for tagging, including:
hanging price tag updates daily;
hanging sales signs;
following all inspection guidelines.
Following company policies, procedures and standards for facing, including:
deep facing;
following all inspection guidelines.
Following company policies, procedures and standards for rotating, including:
checking for short-dated product and what to do if product comes in with a short date;
ensuring that product with the shortest expiration date is in the front, followed by the next date, etc. If two or more rows, product with the shortest expiration date is in the front on all rows followed by the next date, etc;
following all inspection guidelines.
Following company policies, procedures and standards for ordering, including:
ordering product from the correct vendor; meeting vendor deadlines and vendor order minimums in order to receive the correct discount and maintain margins;
implementing backup order procedures when required;
following all inspection guidelines.
Following company policies, procedures and standards for cleanliness, including:
maintaining a deep cleaning schedule for the department;
ensuring that backstock areas are neat organized and cleaned regularly;
following all inspection guidelines.
Following company policies, procedures and standards for stocking, including:
checking product when it comes in for expiration dates, damages and mis-picks and forwarding this information to the Receiving Manager for handling;
backstock is worked per company policies and standards;
backstock tags are used appropriately and per company policies and standards;
following all inspection guidelines.
Following company policies, procedures and standards for backstock, including:
ensuring that no product is in backstock without being stocked in the front;
backstock is neat, organized and labeled per company standards;
backstock area is cleaned regularly
following all inspection guidelines;
Following company policies, procedures and standards for returns.

MOD (Manager on Duty) Responsibilities:
The Grocery/Dairy/Frozen Bulk Assistant position is required to fulfill the following Manager on Duty (MOD) duties as assigned:

Shift MOD:
Responds to cashier needs for manager over-rides.
Ensures that customers are waited on in a timely manner and per company standards of excellence in customer service.
Responds to calls and handles customer complaints as needed and per company policies.
Responds to calls and handles customer returns as needed and per company policies.
Covers cashier lunch breaks.
This position is to never be left as the overall MOD for the store. This position can never be assigned to complete the DSR, store opening and/or closing MOD responsibilities, and cashier drawer counts.

Store Operations:
1. Work schedule is based on store needs which will include evenings and weekends.
a. The primary purpose of this position is to provide additional coverage for the departments, so this position will be scheduled to work opposite shifts of the department managers.
2. Must work a full-time schedule of 30-40 hours per week
3. Participates in store meetings.
Although this is a general outline of job responsibilities all employees are expected to be “hands on” and do whatever it takes to get the job done and make the company thrive.

Qualifications:
Previous retail experience in a grocery or retail environment; natural foods background a plus
At least 1 year experience in grocery and/or related retail experience
Must be able to pass a background check
Possesses a sense of urgency in the completion of tasks
Possesses excellent customer service skills
Is highly organized with great attention to detail
Ability to stay focused with the task at hand
Ability to take direction and follow through
Must be cashier trained
Proficient in MS Word, Excel and Outlook

Physical Requirements:
Must have the ability to lift 50 lbs, repetitive lifting up to 30 lbs.
Must be able to carry up to 50 lbs.
Requires the use of both arms and both hands with full range of motion.
Must be able to bend at the waist and knees, twist, push and pull.
Must be able to kneel, squat, and climb as needed
Must be able to reach overhead and away from the body
Must be able to stand for at least 90% of the time
Must be able to walk for at least 90% of the time
