Responsible for all coordination of guests that book group space with the resort as outlined below and in standard operating procedures for the position.
DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned.
Handle multiple inbound phone calls from guests regarding group reservations.
Accurately input guest information into Resort computer system.
Specialize in handling inbound group reservations calls.
Complete Group resumes with all pertinent information.
Enter Group Information into LMS System
Obtain and input rooming list for all groups.
Maintain Room Block; Monitor & Pick Up.
Print out thank you letters and all sales appropriate collateral.
Communication with all hotel & resort departments, vendors and guests..
Monitoring all incoming and outgoing faxes and mail.
Organizing and maintaining files for Reservations as well as Sales.
Ensure all needed information is in each file.
Run and distribute Monthly reports for Sales/Reservations.
Act as back up receptionist for Executive Receptionist, and answer Sales Calls when Sales team is out of the office.
Perform Administrative duties for the sales department, i.e. proposals, contracts, filing, reports, data entry.
Expected to attend local & regional tradeshows, either in the city or abroad (some travel).
May be needed to conduct site inspections in a professional manner – represent MCRS in a professional way.
Excellent communication skills both in person as well as on the telephone. Ability to maintain strict confidentiality of classified information. Highly effective communicator, motivator with excellent customer service skills. Strong typing skills and the ability to operate standard office equipment. Must be competent with various PC-based software programs: Microsoft Word, Excel and Power Point. Ability to tactfully and diplomatically deal with the public and staff. Must possess excellent business sense and high professional ethics. Must possess a high regard for customer service and employee relations.
EDUCATION and/or EXPERIENCE
Hotel experience preferred but not required. High School diploma or GED required. AA degree in business administration or equivalent work experience providing necessary background for the position.
