Create good teamwork and high morale within your team.
Manage and staff accordingly to provide full coverage to the mailroom, scanning team, and offshore efforts to cover all processes in the department.
Determine contingency coverage for daily processes, inclement weather, and offshore holidays.
Keep upper management abreast of both successes and problems as they occur.
Maintain objective and focused effort to ensure integrity throughout the mail, correspondence receipts, sorting, scanning, and indexing processes.
Provide department director with the quality and performance standards, results and metrics necessary to achieve company and departmental objectives.
$$ Inform management about quality standards as they are implemented.
Provide staff with goals, objectives, and timely reviews.
$$ Monitor performance and challenge the team to meet goals set by management.
Responsible for maintenance and usage of the scanning machinery.
Communicate with banking partners on a regular basis regarding quality, HIPAA violations, or incomplete batch deliveries/transfers.
$$ Communicate any HIPAA concerns regarding incomplete batches to our Corporate Compliance department, as outlined in our employee manual.
Communicate with vendors in regards to storage, shipping, and shred bin activities.
Draft policies and procedures to guide compliance with established quality standards.
Perform standard supervisory tasks such as hiring and training new employees, performance reviews, performance counseling, conflict resolution, terminations, payroll, etc.
Manage the administrative aspects of the department to assure:
$$ Working files and policy and procedure manuals are developed and maintained
$$ Adequate staffing levels are achieved
$$ Budgetary guidelines are followed
$$ Workflow is efficient and effective
$$ High levels of morale are sustained
Backup the mail room activities for processing mail and delivery
Phone calls to insurance carriers
Email and meet with other departments to answer questions and resolve issues, as needed
Participate in problem resolution at all levels
Be a role model within the department by exhibiting mature leadership qualities such as a positive outlook, confidentiality, respect, and team spirit.
High School diploma required
Handling incoming mail and/or correspondence (6 months)
Tracking information in spreadsheets (1 year minimum)
Place and receive phone calls for process support (1 year minimum)
Familiarity with scanning equipment and software preferred.
Knowledge of banking/lockbox processing is preferred.
Medical documentation knowledge is preferred.
Ability to work autonomously and as a team member, with little supervision required once a goal is assigned.
Excellent verbal and written communications skills.
Requires manual dexterity sufficient to operate a computer keyboard, answer a telephone, run a copier and other office equipment as necessary.
Vision must be correctable to 20/20.
