Position Description

***REVISED*** ***THIS POSITION IS OPEN UNTIL FILLED*** Cal Poly is a nationally ranked, four-year, comprehensive public university located in San Luis Obispo, California. The emphasis of the University is a "learn by doing" educational experience for its more than 18,000+ students. Many students seek admission to Cal Poly not only because of its excellent academic reputation, but also because the 6,000-acre main campus is nestled in the foothills of San Luis Obispo, just minutes from California's Central Coast beaches. University Advancement at Cal Poly oversees the development program areas of planned giving, principal gifts, prospect research, corporate and foundation relations, fundraising, alumni relations, and marketing and communications. Under the general direction of the Assistant Vice President for Marketing & Communications, the Communications Specialist works independently to support the Marketing & Communications mission and scope in the areas of print and digital communications, marketing and branding, publications, special projects/events, and media relations. This position supports the University with campaign communications and communications technology, including University Advancement websites and iModules. Additionally, this position makes recommendations for policies and procedures, press releases, digital and print content, and social media. The Communications Specialist assists senior management with marketing content and branding for internal and external communications. The incumbent must have thorough knowledge of the program and applicable communications techniques, be able to work fairly autonomously, and exercise sound judgment and discretion in the completion of assignments and projects. The work involves daily contact with university management, members of the media, and other key constituencies.

Minimum Qualifications (Staff Only)

EDUCATION AND EXPERIENCE: Bachelor's degree and three years of progressively responsible experience in marketing and public relations, or a related field.

Required Qualifications / Specialized Skills

Demonstrated ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems. Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds. Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing. Thorough knowledge of English grammar, punctuation, and spelling. Ability to interpret, communicate and apply policies and procedures. Thorough knowledge of and ability to apply standard theories, practices, principles, current techniques and methods related to communications in the media relations areas; ability to research and identify communication needs and target audiences; knowledge of digital communication techniques, vehicles and formats; ability to effectively use digital technology to achieve communication goals. Working knowledge of applicable laws pertaining to written and electronic materials and news media, including libel/slander, copyright, and privacy. Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines. Exercise sound judgment and discretion in the completion of assignments and projects; demonstrated experience in meeting established deadlines. Advanced story development and journalistic writing and editing skills; demonstrated ability to produce clear, concise, professional-quality documents for internal/external publication. Excellent computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email. Knowledge of AP style, web page-development software, photo and web-video editing, desktop publishing, photography, social media experience. Exceptional interpersonal skills to develop and maintain relationships at all levels within/outside an organization; strong initiative, public speaking, listening and consensus-building skills. Demonstrated ability to maintain a high degree of confidentiality. Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.

Preferred Qualifications / Skills

Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude. BSR Advance, Ellucian, Powerpoint, Word, Excel, Explorer and Access.

Special Conditions (Staff)

***REVISED*** ***THIS POSITION IS OPEN UNTIL FILLED*** Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business. The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment. Must will willing to travel and attend training programs off-site for occasional professional development. Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis. This position classification has been defined as "Exempt" and is not subject to the overtime provisions of the Fair Labor Standards Act (FLSA). Must be able to successfully pass a pre-employment background/fingerprint check.
