This Contracts Administrator opening provides the right candidate with a great opportunity to learn and grow in the manufacturing field. This position will be the on-site customer service contact providing critical support to our manufacturing facility in Hampton, NH.
We specialize in the manufacturing of aluminum brazed assemblies including enclosures, chassis, cold plates and heat exchangers for defense and commercial aerospace industrial markets. The ideal candidate will possess solid customer service skills, thrive in a fast-paced business environment, and have a strong understanding of business disciplines including the ability to apply well-defined work techniques and procedures in day-to-day activities. This position will be critical team member supporting multiple activities including, but not limited to maintaining revision control of customer documentation, specifications, and drawings. Coordinates incorporation of changes to ensure proper revision control is maintained. Responsible for handling customer accounts as assigned by the Customer Service Supervisor.
Job Summary and Description
Under supervision of the Customer Service Supervisor, performs a variety of functions to support members of the Engineering, Quality, and Production Control departments.
Responsible for incorporating new and changed documents into the document control files and updating the business system accordingly.
Verify document revisions on RFQ’s and provide copies of the documentation to Purchasing.
Verify document revisions on travelers and provide copies of the documentation to Production Control.
Maintain the distribution of current revision documents, procedures and specifications to Brazonics personnel when necessary.
Update obsolete documents in the business system and remove from the active file location.
Input customer Purchase Order requirements into Brazonics business system to reflect contractually agreed price, delivery, lead time, purchase order text, quality requirements, specified Terms and Conditions, and any other pertinent data. Prepare and forward Purchase Order Acknowledgment noting Brazonics acceptance or exceptions per specified customer website instructions.
Prepare manual and/or electronic contract folders for each order. Includes posting quote backup, drawings, purchase order, Statement of Work, CDRL’s etc. to the designated Contracts electronic repository.
Initiate and maintain manual and/or electronic Contract files to ensure all relevant contract information is properly documented and incorporated for reference, includes customer correspondence and internal job related information.
Maintain contract file composition methodology, file folder marking and contents input guidelines.
Maintain manual and/or electronic Contract information regarding Customer Change Order Log, prepares Customer Change Impact Assessment Router in preparation for Change Board and initiates pre-release as required. Prepares Customer Change Concurrence Document as required and forwards to customer for signature and authorization. Process order upon receipt of customer direction. Must also have the ability to understand document revision control.
Inputs and tracks Return Orders (RMA’s). Forwards request for authorization of repair procedures, funding, delivery commits to Customer. Update and maintains RMA Logs as needed.
Perform reconciliation of daily shipments and ensure any issues are resolved with Shipping, Production and Accounting and that the necessary adjustments are made.
Act as primary customer interface regarding status on company contractual efforts including all Pull Production and MRP self release programs. Issues requiring elevation will be addressed with the Customer Service Supervisor.
Filing and purging of Proprietary Information Agreements, Non Disclosure Agreements, and Representations and Certifications.
Other duties as assigned.
Associates Degree is desirable with a minimum of four (4) years experience in Contract Administration and Customer Service. Highly developed written and verbal skills accompanied by a professional demeanor.
Advanced skills in Word Processing, Excel, and database literacy are necessary. Outstanding organizational, time management and follow up skills.
