Essential Duties & Responsibilities
Includes the following. Other duties may be assigned.
Composes and types routine correspondence. Prepares tables, charts, lists, and graphs.
Conducts research and compiles/types statistical reports.
Creates, maintains, and updates rosters and contact information for Public Health Staff.
Reads and routes incoming mail.
Locates and attaches appropriate file to correspondence to be answered by employer.
Prepares outgoing mail and correspondence, including e-mail and faxes.
Makes copies of correspondence and other printed material.
Coordinates and develops general department systems and flow of communication within department staff.
Maintains flow of records, organizes and develops filing system(s) and final placement of documents. Answers telephone and gives information to callers and routes call to appropriate manager.
Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes meeting minutes.
Maintains accurate and up to date records of all staff counselor meetings, including reports and other materials distributed.
Coordinates Public Health Division Director and Associate Director's schedule and makes appointments. Arranges and coordinates travel schedules and reservations.
Greets scheduled visitors and directs to appropriate area or person.
Completes weekly internal statistical reporting for AHF Management and Staff.
Acts in support of state and county testing program or contract audits and/or site visits.
Responsible for maintaining the security and confidentiality of records relating to clients' personal information and status as a client.
Responsible for the collection and tracking of all cash receipts, deposits and records in accordance with PHD-SB Policies and Procedures regarding donations and/or payments.
Participates in the implementation and review of administrative policies and procedures.
Schedules volunteers and per diem temporary workers.
Responsible for the collection and processing of timesheets.
Other duties as assigned.
Participation in AHF Meetings/Committees
Attends Department Meetings.
Attends weekly PHD-SB Leadership Meeting.

Education and/or Experience
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
Computer/Software Skills & Abilities
To perform this job successfully, an individual should have knowledge of Microsoft Office software. Proficiency in Excel or other spreadsheet software required.
Language Skills Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent to draw and interpret bar graphs. Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Other Skills & Abilities/Qualifications
Bilingual (Spanish/English) highly desired.
Sensitivity to the issues surrounding HIV and AIDS.
Ability to work with minimal supervision.
Must have reliable transportation with liability insurance for business use.

Valid driver's license and proof of liability insurance.
