Position summaryProvides secretarial and general office support to the department. The position requires strong verbal and written communication skills. The position must also have the ability to effectively communicate with physicians, visitors, families, and hospital personnel. A high degree of accuracy and wide knowledge of computer programs such as Microsft Word, Excel and Outlook is required for the position. Confidentiality must be maintained at all times. Effective organizational and record-keeping skills is vital to this role. The ability to perform responsibilities of this position with initiative, independent judgment as provided and minimum supervisor is required.Essential job functionsDaily DutiesAnswers incoming telephone calls in a prompt and friendly manner and handles calls in an appropriate manner Is pleasant and helpful to all who call the department Receives guests in an appropriate manner and assists in answering questions or directing as required Accurately types correspondence as directed May be required to compose correspondence including minutes, memos, announcements, policies, forms and letters Receives incoming mail and distributes or handles as appropriate Completes copying work for the department as requested Maintains office filing system in an efficient and effective manner Orders office supplies and completes other purchase orders as needed and instructed Arranges conferences, meetings, and travel reservations for personnel Maintains scheduling and event calendars Operates office equipment such as fax machines, copiers, and phone systems Provides other clerical support as directed May be required to track specific information/trends related to various areas including but not limited to physician time logs, medical director fees. Enters check requests as needed Physical Therapy Additional DutiesCompetent in assisting with the Durable Medical Equipment (DME) program. HOME HEALTH CARE Medical RecordsProcesses physician ordersPerforms discharge and billing auditsMaintains Medical RecordsMaintains admission packets and education packets. Other DutiesAssists to assure that all employee time cards and payroll records are completed accurately and timely.Conducts all activities in compliance with applicable laws and regulationsKnowledge, Skills AbilitiesHigh degree of accuracy in punctuation, spelling and grammar required Experience with personal computers, printers, and computer programs such as Microsoft Word, Excel, and Outlook required Excellent organization skills required Strong verbal and written communication skills required Ability to perform multiple tasks simultaneously as required by workload Ability to perform responsibilities with minimal supervision and exercise independent judgment Exercises a high degree of confidentiality Minimum qualifications Education High school diploma or equivalent required Licensure Not applicable Other One year previous secretarial experience preferred. Some college preferred.
