The Development Assistant is part of a team which furthers the fund raising, program, public relations and public education goals of the organization. This person must have an outgoing personality with excellent public relations and customer service skills. He/she must possess excellent computer, administrative and organizational skills, be able to multi-task effectively and work well under pressure. This position has access to confidential information and staff member must treat all such information with discretion. This person must have high-energy, be a team player, exercise sound judgment, and exhibit a high level of professionalism and courteousness at all times. Excellent written and oral communication skills are critical in this position. Under the direct supervision of the VP of Development, Director of Cause Marketing and Director of Grants, the Development Assistant performs a broad range of administrative, clerical and office operation activities within the Development Department.
Include, but are not limited to, tracking prospect and donor correspondence; data entry, processing, and maintenance; research and prospect cultivation; minor logistic scheduling and providing administrative support to the Development Department’s corporate, grants and Ride Without Limits fundraising efforts. This individual will be expected to work independently and to be self-motivated. S/he will also be expected to work in a collegial manner with the Development Team in implementing strategies for cultivation, solicitation and closure to achieve annual fundraising and activity goals.
WORK ACTIVITIES: Administrative Database Management: Maintains an accurate and current database. Updates address changes and other contact information on an ongoing and timely basis. Gift Processing: Accurately processes, tracks, invoices and acknowledges pledges and gift information in Development Department database, produces letters of acknowledgment for donors, and delivers funds to Accounts Receivable Department on a daily basis. Report Preparation: Produces reports relating to individual, corporate, foundation and special events giving utilizing Development Department database at request of Development Manager and other members of Development Department staff. Research: Conducts prospect research, as directed, and compiles reports and findings. Mailing support: Prepares and coordinates cause marketing and Ride Without Limits marketing mailings and shipments. Administrative Support: Responsible for maintaining office files and performing routine clerical tasks, including preparing general correspondence; donor pledge invoicing; processing and distributing mail; copying; faxing; proofreading; ordering office supplies; coordinating meeting arrangements; and performing other tasks as assigned by VP of Development & Dir. of Cause Marketing.
Other Duties; Complies with all Easter Seals UCP policies and procedures . Periodically shares lunch hour reception duties with staff members from other departments in HQ office. Performs other duties as assigned.
