The Donor Services Manager manages and mantains the oversight of the standard operating procedures for the Raisers Edge Database system; organizes the data and manipulates with close attention to detail; manages the daily operation of the Donor Service Department staff; provides in-house training to the Development team to effectively use the system; monitors and participates in maintaining accurate up-to-date donor and prospect record information; processes donations and clean-up of the database; conducts sophisticated merges for special event solicitations, major gifts solicitation, stewardship recognition and analytical reports; manages the reconciliation process with the Finance Department and the reconciliation process with the bank.
Maintains and enforces Raisers Edge business rules to ensure codes and keying is consistent and accurate.
Manages database enhancements (data appends, WealthEngine, etc.) to ensure appends are performed accurately and on the appropriate audiences. Utilizes various sources of prospect research services works closely with the Development Managers on data mining of the database.
Oversees and ensures all data hygiene (NCOA, de-duping, address standardizations).
Oversees the addition of structure to an explicit Donor Care Philosophy to include a more personal type of Donor acknowledgement and strives to increase participation in all facets of the Donor base.
Develops and ensures that proper procedures for contact and communication are utilized.
Consults with management and the Development Team to analyze computer system needs for management information and functional operations, to determine scope and priorities of projects, and to assist in and work closely with the Information Technology Manager to provide the necessary system capacity and equipment acquisitions.
Works closely with the Information Technology Manager and assists in the design, specifics, configuration, installation and maintenance of local area network hardware, software and telecommunications resources necessary to support the continual accessibility of donor and prospect data across the command.
Works with Information Technology Manager and researches and evaluates new technologies, including technical training to keep up with industry standards and changes; trains and monitors users on software and equipment usage; recommends and develops plans for systems development and operations, hardware and software purchases, budget and staffing of the Donor Care Services Department functions across the command.
Develops implements and monitors management information systems policies as it relates to Donor Care Services and controls to ensure data accuracy, security and legal and regulatory compliance.
Develops and implements policies and procedures related to donor care services including but not limited to data base technological support, acquisition, use, support, security and backup; works closely with department managers and corps officers to develop management information system solutions which are consistent with meeting organizational objectives.
Coordinates, prepares and/or supervises the maintenance of data and prepares analysis reports. Identifies target market segments by demographic and/or psychographic characteristics; works closely with Development Team to utilize such information for the acquisition of and increased donor support.
Researches postal requirements and mail sorting techniques to obtain maximum postal discounts.
Monitors and participates in the day-to-day operations of the donor database; trains and instructs permanent and temporary staff in the proper methods and procedures for performing work; inspects work in progress and upon completion to ensure accuracy, completeness and compliance with departmental policies.
Monitors and verifies daily bank update transmissions and lock box transactions; researches, troubleshoots and resolves data transmission errors.
Supervises the daily mail donations for the DFW Area Command; allocates donations to appropriate accounts and balances account; enters donations in donor records database and generates donation reports; submits donations and reports to the Finance Department for further processing.
Oversees the administration of the matching gift program; processes matching gift forms; tracks and processes company gift matches and updates donor records accordingly.
Oversees and directs personally the processing of acknowledgment letters for large gifts and any special acknowledgments as required.
Oversees the administration of the honorarium and memorial program for the area command; enters data into database; generates and distributes honorarium and memorial cards to the donors and recipients.
Responds to all requests for information, complaints and other inquiries from area command donors
Mandatory Job Qualifications
- Raiser’s Edge knowledge, including ability to create queries and run analytic reports from database and three (3) years progressively responsible database management and customer service experience, preferably in a fundraising environment or any equivalent combination of training and experience, which provides the required knowledge, skills and abilities.
- Bachelor’s degree from an accredited college or university in business or a related field.
