South Bay Hospital is looking for an experience Executive Administrative Assistant.
South Bay Hospital is situated in the beautiful Sun City Center, serving one of the fasted growing areas in the state. Close to beaches and Florida attractions, our growing 125-bed acute care hospital offers a full spectrum of healthcare services, including:
- Inpatient/Outpatient Surgery
- Wound Care Center
Demonstrates accountability and responsibility in providing administrative clerical support in the day- to-day operations of the department. Contributes to optimizing customer satisfaction and the continuity and effective operation of the department.
Provides administrative support and optimizes executives time; maintains and manages daily schedule. Composes, prepares and manages all office correspondence, and hospital policies and procedures. Coordinates, and prioritizes mail and other correspondence for executive's review. Manages travel itineraries.
Courteously facilitates and handles requests, complaints and communications with staff, physicians, and guests. Demonstrates a service orientation in all interactions with internal and external customers. Exercises good judgment, discretion and diplomacy in communications. Prepares meeting minutes.
Prepares all administrative forms to include travel expense reimbursements, documents, and check requests, in a timely and efficient manner. Ensures adequate departmental supply inventory is maintained.
Sets up conferences and symposiums, coordinates travel itineraries and prepares expense reports for members of the medical staff.
Maintains strict confidentiality in all communications and interactions. Demonstrates tact and diplomacy in executing duties.
Ensures departmental files, policy and procedure manuals, protocols, and reports for various hospital, state and Federal organizations are maintained and up to date.
Maintains proactive and effective communication with all members of the departmental team. Continuously evaluates administrative operational procedures and recommends changes as appropriate.
Demonstrates knowledge of the occurrence reporting system. Uses system to report potential patient safety issues.
High school diploma or equivalent (GED)
Two to three years previous experience within a secretarial or admin assistant position
Proficient in Microsoft Office, excel, word, etc.; Keyboard skills of 60 wpm
Good organization, verbal and written communication skills
Good customer service, interpersonal, grammar/spelling, ability to follow verbal instructions
