Executive Administrative Assistant - Accounting & Reporting Americas-13006176

Accounting & Reporting Americas is responsible for ensuring the integrity of the underlying books and records of, and delivering consolidated, local, statutory, and regulatory financial reporting for all AXP legal entities in the U.S., Canada and Latin America. The ideal candidate must be a proactive, enthusiastic, intelligent, detail-oriented and highly professional team player who can effectively manage multiple tasks and priorities and who can integrate well into an extremely fast paced and dynamic environment that often requires superior problem-solving and interpersonal skills. This individual will be responsible for providing critical administrative support to the Senior Vice President – Accounting & Reporting Americas. In addition, this person will work closely with the SVP’s Director Assistant.


Required Skills/Qualifications:

-Day to day management of the SVP’s calendar and phones.
-Managing global travel arrangements for the SVP. Ensuring timely preparation and processing of monthly expense reports and departmental invoices.
-Office supplies management.
-Managing Ariba and CPC accounts. Communications:
-Coordinate all event logistics for A&R Americas Town Halls, which may be hosted in global locations outside of New York, and other team communications and employee events
-Work with Global Finance Communications Team to ensure all content is up-to-date at all times, and in alignment with FinanceWeb content and design standards.

Other Responsibilities:
-Maintain and consolidate Accounting & Reporting Americas Organization charts on a monthly basis, and ensure they are updated on website.
-Assistance with special projects and initiatives as requested
-Benchmarking with other EAs and sharing best practices to stay current.

Educational requirement:
-Previous experience supporting senior executives with complex business and travel calendars.
-Superior organizational and time management skills.
-Ability to multi-task and prioritize in an extremely fast paced environment.
-Proficient with Outlook, Excel, Word, Power Point and Visio.
-Strong attention to detail.
-Demonstrated ability to remain calm and highly professional when under pressure, and to be flexible to changing and challenging priorities.
-Strong interpersonal and communication skills.
-Team player.
-Highly motivated self starter who proactively brings process improvement ideas to the table for consideration.
