The Executive Assistant/Office Manager will be responsible for supporting the executives, sales team and assisting in a range of administrative activities at Hartman Executive Advisors. We're looking for an energetic and well-organized individual with strong oral and written communication skills, as well as strong interpersonal skills to assist with sales support, outstanding client support, internal meeting coordination and support. This individual must have a proactive approach on projects and work with minimal direction. He/she must be well-organized, detail-oriented, web savvy and a team player. This role requires the ability to prioritize and multi-task in a fast-paced environment. The candidate must be trustworthy, discreet, loyal, and must maintain strict confidences. The Executive Assistant will be performing in a highly visible role and must reflect the demeanor, level of respect, professionalism, positive attitude and instincts necessary to appropriately represent Hartman Executive Advisors. This role will report to the President and Vice President of Hartman and work very closely with the client managers, consultants, internal staff and sales team as necessary.

Maintain daily schedule: respond to invitations, resolve scheduling conflicts and coordinate activities
Organize and schedule internal and external meetings and appointments for senior level staff members
Support sales team with lead generation, meeting coordination and follow through, proposal development, relationship cultivation and client retention.
Assist with the preparation of client deliverables including PowerPoint presentations, assessment documents, meeting agendas, etc, in order to help ensure a consistently outstanding client experience.
Assist in management of the sales pipeline, upkeep of contact lists, and help with CRM data entry and updates related to contacts, opportunities and activities.
Assist in the scheduling of networking events and seminars for C-Level Executives.
Summarize meeting activities and next steps and provide follow-through support for executives in operations, sales and marketing meetings.
Compose and prepare correspondence, as well as prepare presentations.
Receptionist and Office Coordinator--serve coffee/lunch to guests, answer phones, and greet guests.

Position Requirements:
A minimum of three years Executive Assistant experience required
Proficiency with Microsoft Office programs such as Word, Excel, Power Point, and Outlook is required
Experience with Microsoft CRM or other CRM database systems is preferred
Strong interpersonal, communication and customer service skills
Highly organized with strong attention to details
Ability to write succinctly in a variety of communication settings and styles
Comfortable working in a fast-paced environment and prioritizing/managing multiple tasks
