Executive Assistant/Office Manager

The Executive Assistant/Office Manager will contribute to the success of Redbox by providing administrative support primarily to the VP of Purchasing and backup support for others within the Purchasing department. This individual will interact with both internal and external customers, as well as various departments throughout the organization. This individual will also oversee all office management.

Summary of Key Responsibilities :
  • Assist purchasing department with spreadsheets and studio calendar
  • Expense reporting and office budget maintenance
  • Plan and execute all department events
  • Meeting and Event coordination, including agenda creation and distribution
  • Contract Administration
  • Calendar Management
  • Coordinate all domestic and international travel
  • Coordination of department vacation and travel schedules
  • Clerical responsibilities and general office administration
  • Preparation of Excel documents including pivot tables
  • Update title release board
  • Handle all Notary Public needs
  • Ad hoc projects - presentations
  • Maintain Office
o Stock Kitchen with snacks and beverages

o Maintain office supply inventory

  • Billing and invoice accounting
  • Facilitate communication with OBT facilities
  • Shipping/Receiving
  • Manage general office space (i.e. visitors and hoteling offices)
  • Manage vendor relationships
  • Prepare and update master vendor list; manage all open accounts while procuring future vendors.
  • Arrange for AV maintenance
  • Manage ongoing construction projects
  • Ad hoc office responsibilities
  • Demonstrates strong analytical, organizational, detail oriented, & problem solving skills
  • Demonstrates high-level verbal and written communication skills
  • Strong coordination and follow up skills
  • Capable of working independently with minimal supervision
  • Highly reliable and dependable

  • Has the ability to remain composed under high-pressure to change and innovation
  • applications as well as office productivity applications such as Windows, Microsoft Word, Microsoft Excel, Visio, and Microsoft Access
  • Demonstrates a high-level of computer literacy, including proficiency in web-based software
  • Must be able to multi-task, prioritize and manage numerous tasks quickly, accurately and efficiently in a fast paced environment with deadline pressure
Education and Experience:
  • Bachelor’s degree required or a minimum of 8 years of related work experience or equivalent combination of education and work experience
