Position Title: Executive Assistant/Office Manager (Falls Church, VA)
Executive Assistant/ Office Manager supports CEO, Mission Support Team and Sevatec Staff in office management and administrative support.
Executive Assistant / Office Manager is assigned to the Headquarters Staff and is responsible for providing advice and assistance to the VP of Human Resources and Senior executive management in the areas of strategic planning, administrative and human resource management, security, facilities, logistics, correspondence management, resource management and manpower management. Initiate and follow up on high level contacts of a complex nature inside and outside of the firm. Exercise discretion in handling information of highly confidential and/or sensitive nature. Schedule and maintain the Senior Executive's calendar, anticipating needs, changes, and rearranging meetings. Collect, prepare and review weekly status briefing inputs for the Executive Committee staff meetings. Leading administrator in a variety of functional areas in support of administrative operations, to include, but not limited to; prepare appropriate executive correspondence for high level officials within Sevatec and other staff agencies, records management control, extensive travel and transportation arrangements, procures supplies and services, and other administrative services. Answer, forward and screen electronic communications, to include e-mails, telephone and faxes.
Develop and maintain paper and electronic filing systems, proofs and edits materials. Orders everyday supplies necessary for maintaining office space and handles day to day basic upkeep of headquarters. meetings, appointments and correspondence as well as preparation of needed materials for proposals and projects.
Answer and route telephone calls to specific Sevatec employees. Handle clerical work related to all Sevatec employees and business practises. Represent Sevatec, Inc. in a professional capacity in meetings and greetings.
Additional Responsibilities may include:
Receiving and routing telephone calls into Sevatec. Inc.
Welcoming and directing clients and candidates
Signing for and routing courier packages to staff
Processing incoming mail
Collecting and submitting weekly invoices
Stocking kitchen and workroom supplies
Ordering kitchen and workroom supplies
Tidying kitchen areas and conference rooms
Assisting with clerical duties as required
