JOB TITLE: Executive Assistant - Talent Support

REPORTS TO: Director - Talent Support

JOB GOAL :

The Executive Assistant – Talent Support is a key member of the Talent Support cross-functional team. This individual is responsible for maintaining human capital data for all employees. The Executive Assistant – Talent Support provides excellent customer service and support as the first interface for the Talent Support team.

ILLUSTRATIVE RESPONSIBILITIES AND DUTIES:
  • Create and maintain all files related to employment
  • Maintain compliance with federal and state regulations concerning employment
  • Coordinate background check process for all YES Prep employees, contractors and volunteers
  • Coordinate all necessary paperwork for new hires, ensure documentation is delivered and filed appropriately, in accordance with legal requirements and organizational policies and procedures
  • Coordinate employee processing and maintain paperwork accordingly, including status changes, qualifying events and demographic changes
  • Coordinate end of employment processing, including Service Record requests
  • Effectively record, maintain, and report Talent Support information in a confidential manner
  • Maintain Human Resource Information System records and compile reports from database upon request
  • Be responsible for timely and accurate communications to and from a variety of constituents, including current employees, new hires, former employees, employment verification agencies, and more
  • File and maintain documents for the YES Prep Board of Directors and General Counsel
  • Provide scheduling support to the Vice President of Talent Support and General Counsel as needed
  • Support Talent Support events, including new hire orientation, campus information sessions, training sessions and other organizational events
  • Additional duties as assigned

  • Ability to perform a variety of tasks, often changing assignments on short notice, with little to no direction;
  • Ability to communicate effectively and appropriately with others.
QUALIFICATIONS:

The ideal candidate for this position will possess the following:

Education/Experience
  • Bachelor’s Degree from an accredited four-year educational institution
OR
  • Associate’s Degree plus at least 2 years of Human Resource or Administrative experience
OR
  • At least 3-5 years of Human Resource or Administrative experience, preferably in an education environment, in lieu of a degree

Physical Demands/Environmental Factors
  • Frequent prolonged and irregular hours of duty

COMMITMENT AND COMPENSATION :

Length of Work Year

12 month position; evening and weekend commitments also will be required. This is a full-time, non-exempt, hourly position.
