Executive Assistant - Senior Vice President
Responsible for performing a multitude of highly complex administrative duties with a high degree of accountability enabling the manager to devote additional time to top management responsibilities. Follows up on deadlines, communicates efficiently and effectively with colleagues and others inside and outside the company and researches, gathers and analyzes a vast array of information to decide proper course of action in a timely manner. When necessary, this position provides support to Group Presidents and the Chairman and provides administrative support or assistance to the manager's direct reports, including mentoring their administrative assistants. Assures coordination of activities and information within and relating to the administrative area of responsibility and in concert with reporting responsibilities with the executive management team.
Uses discretion, judgment and initiative to continue the work responsibilities of the office when the manager is unavailable. Understands and determines what issues and situations can be handled by self or referred to the appropriate Vice President, what can be held for the manager’s return, or what should be referred to the Chairman’s office. Determines the activities and duties that can be executed without the personal review or clearance of the manager. Prepares responses to inquiries or communications as appropriate and determines priorities that enhance the effectiveness of the office. Screens and/or deals with daily issues such as an angry customer or employee, potential security situations, dealer assistance or inquiries from the press.
Maintains a highly confidential environment, covering such information as future business plans, personnel issues, acquisitions, corporate financial condition, results of operation, etc. Reviews expense books for the manager's direct reports, coordinates meetings of all sizes, makes extensive travel arrangements and manages complex schedules and calendars for a 2 year minimum. Coordinates presentations and speeches to ensure they reflect the appropriate style and creates most of those presentations in PowerPoint.
*At least 15 years of progressively responsible job related experience is typically required.
*Must have experience supporting higher level management. (For example department head or director level support.)
*Requires intermediate to advanced expertise in use of computer software programs acquired through training and considerable experience, as well as advanced administrative support and analytical skills
*Excellent interpersonal skills and ability to communicate effectively with all levels of employees and maintaining confidentiality.
Associate’s degree an administrative professional certification
