Title: Executive Assistant

Pay type: Exempt

Department: Finance

Reports to: CFO

This is a full-time position that provides administrative support to the Chief Financial Officer of Major Brands Holdings and the Chief Financial Officer of Major Brands. This position will also provide backup support to other executive team members as needed.

Schedule and organize complex activities such as meetings, travel, and department activities.

Create, coordinate and develop visual presentations.

Organize and prioritize large volumes of information and calls.

Responsible for sorting incoming and outgoing mail to ensure proper distribution.

Answer phones; takes messages or field/answer all routine and non-routine questions.

Assist in the management of schedules.

Handle confidential and non-routine information.

Work independently and with the Administrative Manager on special and nonrecurring and ongoing projects.

Type and design general correspondences, memos, charts, tables, graphs, business plans, etc.

Effectively interface with high level internal/external contacts, requiring discretion and initiative.

Assist the CFO on various financial projects as directed or assigned.

Assist with project management of various areas such as Diver, sales reporting, updating the finance portion of the intranet, policy and procedures, tax filings, etc.

Provide assistance to other administrative assistance as workloads demand or when short staffed.

Education/Training/Experience:
College Degree preferred.

Must have a minimum of 2 years of experience at executive level, preferably in the professional services sector, or equivalent combination of education and experience.

Previous experience supporting Executive level personnel preferred.

Skills and Abilities:
Strong word processing and PC skills required (Microsoft Word, Excel and PowerPoint) and must be proficient in Outlook.

Requirements include initiative, strong written and verbal communication skills, excellent attention to details and deadlines, and an organized approach to working in a multi-task position.

Must possess a professional demeanor, a respect for confidential information, and a mature approach to all matters of discretion.

Must have a proactive, assertive and collaborative mindset coupled with good problem solving skills.

Must have the ability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
