The Executive Assistant will provide executive administrative support primarily to the SVP Chief Innovation Officer and secondarily to the Senior Director, Strategic Innovation. This position will also provide financial and planning oversight and coordination for all departments under Strategic Innovation.
KNOWLEDGE, SKILLS AND ABILITIES
Bachelor's degree or equivalent work experience is required
Minimum 5-7 years administrative support experience is required, working for multiple leaders is preferred
Experience in budget development and financial oversight is required
Experience working with confidential data and maintaining confidentiality
Superior verbal, written and interpersonal communication skills
Advanced skills with the Microsoft Office Suite of programs including: Word, Excel, Access, Power Point, Visio, Publisher and Outlook
Must be willing to work a flexible schedule as determined by priorities
Must possess excellent attention to detail and organizational skills
Ability to work independently and take initiative to complete assignments
Ability to multi-task, prioritize, and problem-solve in a fast-paced working environment
Ability to interact with diverse persons at all levels of an organization, both inside and outside the YMCA

Provide direct support to the SVP Chief Innovation Officer which entails: e-mail, maintaining the calendar, scheduling meetings, coordinating travel arrangements, processing expense reports, acting as the point of contact for calls, respond or route calls as appropriate in a timely manner, maintaining filing system and formatting, editing PowerPoint presentations and Word documents
Prepare materials of a highly confidential and complex nature where responsibilities of trust and accuracy are vital and knowledge of the organization, policies, procedures and mission are essential
Provide support to the Senior Director, Strategic Innovation and Director of Knowledge Publishing and Products by scheduling meetings, coordinating travel arrangements, processing expense reports
Provide support for on-site meetings, trainings or conferences including: scheduling, meeting set-up, prepare and assemble materials and meeting minutes for SVP Chief Innovation Office and Senior Director, Strategic Innovation
Provide support to local Ys by answering questions via phone and email
Develop, execute and record all contracts in Strategic Innovation in partnership with related staff
Develop and monitor all annual budgets, forecasts and planning documents in partnership with all department managers in Strategic Innovation
Complete general journals or payment requests for department finances
Manage posting and monitoring of content on Exchange as requested
Prepare minutes, reports, rosters, and presentations as needed from notes and verbal instruction
Serve as Records Manager Liaison for all activities required to maintain compliance with legal requirements as well as align with the YMCA of the USA records management policies
Perform other duties as assigned by SVP Chief Innovation Officer
EFFECT ON END RESULTS/STRATEGIC IMPACT
This position is critical to ensuring that Strategic Innovation is adequately supported to serve as a Y-USA resource and trusted advisor to local YMCAs as called for under the Y-USA Strategic Plan. This position provides the daily administrative support for projects meant to increase the effectiveness and impact of the YMCA.
