Under the direction of the President and CEO: The Executive Assistant provides executive support in a one-on-one working relationship. Serves as the primary point of contact for internal and external constituencies on matters pertaining to the CEO. Completes a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Plans, coordinates and ensures the CEO s schedule is followed and respected. Provides gatekeeper and gateway role, creating win-win situations for direct access to the CEO s time and office. Communicates (in person and in writing) directly, and on behalf of the CEO, with Board members and other internal and external customers on matters related to the CEO s initiatives. Prioritizes conflicting needs, handles matters expeditiously and proactively and follows-through on projects to successful completion, often with conflicting deadlines. The Executive Assistant also serves as a liaison to the Board of Directors, Senior Operating Committee, and other internal/external entities. Organizes and coordinates executive outreach and external relations efforts. Builds relationships crucial to the success of the organization and manages a variety of special projects for the CEO. Performs other duties as assigned. POSITION QUALIFICATIONS: Minimum Education: Bachelor s degree required. Minimum Experience: Minimum of 5-10 years experience successfully supporting C-Level Executive(s) or other professional level experience requiring the management and support of an Executive run program(s). Experience in the health care industry preferred. Required Skills: Strong computer skills including expert knowledge of Excel, Word, Outlook and Power Point. Superior customer service ability. Ability to communicate independently and directly with various levels of staff and customers. Excellent oral and written communication skills, including ability to compose correspondence. Must be detail oriented with strong organizational skills. Demonstrated ability to apply judgment in the course of managing relationships and situations impacting the CEO. Demonstrated ability to effectively manage through stressful and confidential situations with confidence, poise, and professionalism. Previous experience required in situations demanding strict adherence to Confidentiality.
