HR Executive Assistant
Reporting to the Global Head of HR for our Global Sales and Account Management (GSAM), the Executive Assistant will be required to provide full administrative support for the HR leadership team members based in New York. The chosen candidate will have a high level of personal and professional integrity and will be trustworthy, polished and well organized.
Managing day-to-day correspondence and email. Recognize urgent or time-sensitive requests. Advise others on how to best coordinate with the executives and office. Use independent discretion to manage, modify, schedule and decline requests
Coordinating meetings, video and teleconferences globally
Coordinating all travel arrangements, including booking and scheduling of accommodations, arranging overseas meetings and preparing travel itineraries
Administering special projects for the various HR Executives and HR team, such as: following-up and tracking project status; drafting correspondence and memos; coordinating monthly HR teleconferences, developing agenda, and drafting speaker notes; developing and preparing "Career Planning Workshops” and managing the “Matching Gifts” program
Participating in various HR initiatives and projects as member of project team
Processing expense reports
Performing general office duties, including filing, updating contact lists, ordering supplies, acclimating new HR hires, organizing file room

Required Skills and Experience:
Five + years of experience providing executive-level support
Advanced PC skills including Microsoft Outlook, Word, PowerPoint and Excel
Exceptional administrative skills required
Ability to communicate at various levels within and outside the organization
Well-organized, methodical and attentive to detail
Strong customer service orientation; discretion and confidentiality is key
Ability to handle confidential information and matters with discretion
Ability to prioritize own workload and to work without close supervision
Strong written and oral communication skills
Excellent presentation skills
Excellent organizational skills including the ability to thrive in a fast paced, multiple task environment
Human Resources background helpful
