Reporting to Human Resources with a strong matrixed relationship to the office of the Chief Scientific Officer, this position is responsible for the coordination, utilization and maintenance of the DFCI faculty database.
Provides high-level customer service to end-users and key DFCI staff/departments; functions as the point of contact for questions regarding the Faculty Database.
Works closely with Department Administrators and other key DFCI staff/departments to obtain accurate, updated faculty data.
Creates and maintains a code book with detailed definitions of each field in the database and examples of how to code unusual cases. Performs logical checks on data and queries appropriate staff to resolve inconsistencies.
Loads data files from Harvard Medical School and Harvard School of Public Health into DFCI faculty database; researches and resolves interface errors.
Coordinates all file needs between DFCI and Harvard Medical School/Harvard School of Public Health; partners with DFCI Information Services on file issues, and support resolution.
Enters updated and corrected faculty data into database as needed; verifies all data being entered to maintain database integrity standards and requirements.
Audits and maintains database on on-going basis.
Collaborates closely with I.T. and HRIS to align faculty database with DFCI needs and requirements.
Serves as “first responder” for data requests; educates end-users on the data fields and limitations of the data.
Runs and distributes routine and customized ad hoc reports for various users.
Oversees security of the database; reviews and approves security access based on established guidelines.
In a team setting, develops, implements, and maintains processes and procedures for faculty database to ensure data integrity and security.
Bachelor’s Degree preferred with 1-2 years relational database experience
Customer Service experience strongly preferred
Experience or knowledge of academic environment helpful
Strong customer service skills
Proficiency with Excel, Access and pivot tables
Strong technical skills including data modeling, relational database design and maintenance
Exceptional attention to detail required
Ability to develop expertise in the definition of data fields for the faculty database
Excellent verbal and written communication skills
Ability to work cross functionally and in a matrixed organization
Ability to work with staff at all levels of the organization
This position is full-time, Monday through Friday, 40 hours per week.
