Provide office and administrative support to the Area Administrator, Manager, Office Support Specialist, staff, and families of the Children’s Discovery Center (CDC). Duties shall include, but not be limited to: complete the daily, weekly, monthly and annual CDC financial records and subsequent processes and maintain an accurate accounting system of revenues and expenses in compliance with college, local, state and federal guidelines; initiate and maintain accurate and efficient records filing system; complete essential and non-essential office duties as required to maintain an efficient office operation and provide for a high level of customer service; assist in classroom and kitchen area as needed; assist with facility operational goals; and provide other duties as assigned by supervisor.

Responsible for maintaining an efficient and current filing system of all documents generated by or received by CDC including but not limit to: all financial accounts, individual client files, applications and waiting list, and all required DFS account paperwork.
Responsible for completion and distribution of accurate billing statements by the last Friday of every month, including DFS billings.
Responsible for completion of, on a timely basis, the accounting systems utilized by the center to ensure that all accounts are maintained, updated and accurate at all times.
Responsible for assessing the accurate fees for individual families and preparing the enrollment packets and fee agreements prior to an enrollment meeting.
Responsible for all enrollment information being entered into the Pro Care system after an enrollment meeting.
Responsible for preparation of reports as required by the CDC Manager, Area Administrator or other College Administrators.
Prepare work orders, purchase orders, LPO’s or other financial documents that are necessary to operate the CDC. Have all financial documents ready for an appropriate signature and then process the documents after the documents have received approval from the Manager or Area Administrator.
Maintain and coordinate required inventories and subsequent shopping lists for classroom and center supplies.
Assist CDC Manager in maintaining DFS License requirements and the reaccreditation of NAEYC.
Create and maintain weekly substitute schedules that are accurate. Distribute substitute schedules to substitutes and classrooms by Friday of the following work week.
Responsible for the verification of the CACFP monthly report.
Responsible for verification and distribution of the deposit every Friday.
Responsible for ensuring that all updated forms from the college or other agencies are used in the CDC documentation.
Cover the responsibilities of the other office personnel in their absence.
Effectively operate the CDC office in conjunction with Office Support Specialist.
Other assigned duties as assigned by immediate supervisor.
Associate’s degree. An additional two years of relevant work experience may be substituted for the education requirement.
Two years of experience in office management, accounting or related field.
Ability to achieve and maintain eligibility as a child care provider in accordance with the state of Wyoming rules and regulations (including CPR/First Aid certification or ability to become certified).
Associate’s degree in accounting, office technology or related field.
Four years of office management experience.
Financial accounting experience.
Experience in educational or public service environment.
