The Front Desk Coordinator will provide project coordination and administrative support including, analytical and planning support to the office, specifically supporting senior level management. Position requires extensive cross-group coordination at all levels, along with superb written and oral communication skills, analytical skills, planning skills with the ability to function effectively with minimal direction, can extrapolate and drive projects to successful, timely completion.
The successful candidate will be able to demonstrate core competencies in the following areas:
Manages all incoming calls and directs clients and visitors.
Manages scheduling of office space.
Provides project coordination and support of office projects – from inception to completion.
Provides administrative support to support staff and brokers. Composes and types correspondences, memos and creates various charts, tables, graphs and presentation materials. Edits copy for spelling, grammar and layout.
Researches and complies data and information for various projects.
Coordinates communications, schedules and information flow between departments.
Assists with monthly operating budgets to identify variances, annual budgeting and forecasting of general office expenses; including A/P
Handles tenure tracking, assists with tenure recognition.
Coordinates and oversees company event planning in cooperation with the Event Planning Committee.
Coordinates and tracks Safety Committee meetings – keeps stakeholders informed.
Organizes and maintains filing systems. Responds to phone call and written requests for information. Researches issues and gathers information.
The successful candidate will possess the following required degrees, certificates or competencies:
2+ years of relevant experience. Associate Degree or greater, preferred.
Analytical Skills– MS Office with proficiency in Excel – capable of building spreadsheets to track budgets and expenses.
Is action oriented and enjoys working hard; is energetic and willing to take on challenging assignments; seizes personal development opportunities.
