The Human Resources & Payroll Coordinator provides of human resource and payroll support to the Clinical and Translational Science Institute (CTSI). Reporting to the Director of Finance and the Executive Director, the Human Resources & Payroll Coordinator is responsible for the following areas: Human Resources Support: -Employee recruitment and new hire processing -Collaborate with program directors and managers on new or replacement job requisitions; consults with USC Compensation to determine appropriate job titles and assist with development of new job description; reviews all personnel requisition documentations for completeness, accuracy and appropriateness -Provide access information to program managers for application review and interview; initiate background check; request offer letter from HR and close requisition when position is filled -Coordinate with new employees to complete all required information and documents for HR and payroll set up; for foreign employees, prepare and process all requests relating to visa, H1B and work permits -Coordinate with managers and IT to ensure smooth onboarding process for all new employees including preparing space/phone/data lines activation and hardware/software purchase; orient new hires on ID requests, campus maps, pay options, cafeterias, etc. -Assist in all personnel action processes including promotions, pay increases, lay-offs and terminations. -Coordinate with program directors and managers on work-related issues and complaints; ensure consistent application of USC personnel policies; gather information and report to appropriate CTSI and USC authority timely and accurately -Assist in implementing and ensuring standardized processes and tools for annual and ad-hoc performance evaluations for all CTSI staff -Participate in campus-wide HR meetings, interprets and applies new and existing human resource policies and procedures; communicate and disseminates new policies and procedures to CTSI leadership and programs Payroll Support: -Process payroll transactions and ensure that all CTSI employees are paid properly and timely -Serves as a liaison to payroll personnel from other schools and departments to issue DPAs for CTSI faculty and staff whose home department are outside of CTSI -Respond to all payroll inquiries from employees, CTSI and other USC offices; determine the nature of each inquiry transaction, paperwork and approval process required -Analysis and Report Preparation: Work with various USC financial and payroll systems to provide routine and ad-hoc payroll and salary reports -Personnel Records: Maintain confidential payroll and personnel files; ensure all records are updated to reflect proper information and pay -Home Department Functions: Coordinate routine and special network and social events; ensure comfortable work environment The University of Southern California values diversity and is committed to equal opportunity in employment.

Minimum Qualifications:
Minimum Education:
High school or equivalent

Minimum Experience:
2 years

Minimum Field of Expertise:
Skilled in payroll or personnel processing with knowledge of applicable federal, state, local laws and regulations. Ability to establish and maintain accurate payroll and personnel records.

Preferred Qualifications

Preferred Education:
  • BA/BS degree or an equivalent combination of education and experience. -Minimum of 3-5 years of payroll and Human resources experience -Masters degree in business or accounting a plus
Preferred Experience:
Required: -Ability to maintain strict confidential standards in the handling of pay and human resource issues -Strong customer service approach; excellent interpersonal skills including the ability to deal with complex and sensitive issues and personalities -Ability to establish and maintain cooperative working relationships with staff and program leadership; -Solid organization and communication skills -Working knowledge of Excel and other MS programs including Word, PowerPoint, Outlook Preferred: Familiarity with USC WEBBA, Lawson, and USC Payroll applications.

Preferred Field of Expertise:
Knowledge of related university policies and procedures.
