The HR Finance Group is responsible for:
Financial budgeting, reporting, forecasting and analysis for four major areas of expertise, including:


Firm-wide HR,


Benefits (HR aligned),


Firm-wide Workforce Analytics,


Cash & Equity (stock & options) Incentive Compensation.

Firm-wide HR includes supporting the Talent & Development, HR Service Delivery, Corporate Functions HR Support, Benefits, Employee Relations, Compensation, Diversity, Asia Region HR, EMEA Region HR and HR Admin groups in Corporate HR, as well as partnering with LOB Finance teams to support Firm-wide HR with a combined recoverable expense base of over $500 Million.

Benefits (HR aligned) financials include firm wide medical, pension and other post employee benefits, BOLI COLI and deferred compensation, as well as other benefits-related items such as long term disability, on-site clinics and back-up childcare, etc., with total assets of over $15 Billion.

Firm-wide workforce analytics & reporting includes weekly, quarterly, and monthly analyses of employees and contractors, including mobility, attrition, talent reassignment, as well as analyzing changes in key functional taxonomies and geographic locations, etc.

Finally, HR Finance is also responsible for the forecasting and analysis of cash and equity incentive compensation, including stock & options issuance and expense accrual/amortization, providing detailed compensation expense guidance to the LOBs, as well as balance sheet and share count impact analyses.

Job Summary

As an Executive Administrative Assistant, you will perform diverse secretarial duties and administrative functions requiring confidentiality, initiative and sound decision-making for the CFO for Human Resources. You will also perform calendar duties, T&E processing, EURCs, and on-boarding and off-boarding for the team. You will rely on excellent organizational skills and the ability to effectively handle multiple priorities. You will need to adapt procedures, processes and techniques to the completion of assignments and in line with the department's activities and goals. Duties include phone support, calendar management, coordinating travel arrangements, preparing expense reports, filing, managing technology needs (EURC), and ordering supplies. You may be asked to prepare presentation materials and back up another assistant on the floor. Additionally, you will exercise independent judgment, escalating serious or unique problems to higher levels. In this role, you will report to the CFO for Human Resources but will also be asked to provide light assistant support to 1-2 additional direct reports to the Corporate Sector CFO (seated in same proximity to HR CFO).


Skills Required


At least ten years of secretarial experience and meeting coordination


Strong PC skills (proficient knowledge of MS Outlook, Word, Excel, and PowerPoint)


Knowledge of general office procedures (e.g., filing, correspondence, scheduling)


Ability to adapt procedures, processes and techniques to the completion of assignments


Effective interpersonal skills


Excellent telephone etiquette


Advanced ability to organize and multitask


Superior oral and written communication skills to prepare internal / external correspondence on behalf of others


Tact and good judgment in confidential situations and proven experience interacting with senior management
