The Office Administrator creates a friendly, caring environment and is responsible to administer specific human resource, marketing, supervisory, and administrative needs of the agency. He/She must be able to compile reports, oversee all aspects of personnel management, ensure day-to-day management of operations, and maintain ongoing relationships with referral agencies. This position requires the ability to work in a fast paced environment, excellent interpersonal and communication skills, organizational and multi-tasking skills, and proficiency with computer software (Microsoft Office Suite, payroll, and accounting).

The ideal candidate for this position will have a high school diploma/GED (additional training or coursework desired), management training/experience, and at least one year of supervisory or administrative experience in a health care delivery system. In addition, the successful candidate will be an independent self-starter, with excellent communication skills, who enjoys the challenge of maintaining organization in a fast paced, multifaceted health care environment. Experience with accounting and/or payroll is advantageous.

The following is a representative list of duties and responsibilities associated with this position:
-- Organize and supervise the administrative function of the Agency including budgeting, accounting, data collection, and record maintenance
-- Maintain an ongoing liaison with Agency committees, employees, and contractors
-- Arrange and negotiate services provided through contractual agreement
-- Maintain an ongoing plan for employee recruitment, orientation, in-service, and continuing education
-- Ensure compliance with applicable laws and regulations, and implement corrective action in response to reports from agency committees and regulatory agencies
-- Ensure organization and management of all staffing activities based on the policies and procedures
-- Complete evaluations on all full-time, part-time, and on-call personnel
-- Responsible for the day-to-day operations of the Agency
-- Conduct weekly or biweekly meetings with the office and on-call employees of the Agency and provides minutes of these meetings, submits to administration
-- Work to build team support and act as liaison between all Care Advantage/Nurse Advantage offices
-- Obtain and verify client financial/credit information prior to admitting clients. Inform administration of any concerns with client's credit history
-- Determine eligibility for services with insurance provider
-- Check collection activities on a weekly basis
-- Responsible for payroll activities
-- Complete a quarterly review of competitors’ pay rates for Administration
-- Responsible for all billing activities
-- Ensure the timely delivery of all payroll and billing information to the Corporate office
-- Responsible for the inventory, ordering, and distribution of all office supplies
-- Complete and present all reports and statistics for monthly meetings
-- Assist in marketing and recruitment activities including: job and vendor fairs, presentations at community activities, researching markets, seeking out new clients, and maintaining relationships with current clients, as directed, to adequately provide service to the community and maintain revenue goals as set by the Company
-- Responsible for the organization of office personnel for marketing purposes
-- Work in conjunction with the Marketing to develop, maintain, and update marketing strategies, plans, and schedules
-- Coordinate with the Marketing to assign office personnel, when appropriate, to conduct marketing visits
-- Encourage marketing ideas from all office and field employees
-- Responsible for productivity, efficiency, improvement, discipline, and overall morale of all office staff
-- Ensure office organization, help develop office training, and participate fully in all areas of office planning, and problem resolution
-- Perform other duties as required
