Planned Parenthood of the Pacific Southwest is seeking a Human Resources Administrative
Coordinator in San Diego, CA - Temporary to possible hire

Purpose:
The HR Administrative Coordinator will coordinate on-going and special projects for the Human Resources and Risk Department. They will manage the personnel file management system, benefit audits, business associate agreements, and Business Portal functions of the department. In addition they will provide high level administrative support as needed and back-up Recruitment support during heavy
recruitment periods.

Education and Experience:
Bachelor’s Degree or equivalent.

Two years administrative experience in Human Resources.

Essential Functions

Essential functions encompass the required tasks, duties, and responsibilities performed as part of the job and the reason the job exists.

HR Operations:
Assist HR Operations department in all aspects of Human Rescues
including disability management, performance evaluation system and HRIS
support.

Manage the employee file management system including:
Ensure personnel records are kept up-to-date,
are in legal compliance and contain all required documents.

Purge personnel files, independent contractor
and workers compensation files as outlined in the records retention
policy and when applicable.

Coordinate on-going and special projects as needed.

Manage the department’s section of Business Portal ensuring
required documents and information is kept up to date.

Perform verifications of employment.

Monitor the I-9 binder and ensure ongoing up keep.

Perform monthly audits of the HHS-OIG List of Excluded Individuals
and Entities (LEIE) which includes reconciling information from various
sources to build reports.

Conduct compliance and data integrity audits as requested. Work
interdepartmentally to get necessary documents.

Responsible for coordinating the annual “Take Your Sons &
Daughters to Work Day.”

Answer policy questions from supervisors and staff as needed.

Recruitment and Benefits

Manage regular benefits audits and follow up with carriers and
carrier connections as needed.

Act as back-up Recruiter when the number of recruitments is above
internal metric. Perform all tasks necessary for filling assigned
positions (including all programs and services/locations offered by
Planned Parenthood), including but not limited to: sourcing applicants,
sorting and screening resumes/applications, telephone pre-screens and
interviews, references, HRIS entry and all paperwork necessary to be
considered an employee (i.e. all Occupational Health paperwork, create
files, new hire email, HOT cycle/other required training, etc.).

Design new templates/forms related to recruitment and benefits

Risk Management and Compliance Support

Provide administrative support to the Risk Management and
Compliance Programs.

Create and manage internal audit database and reporting
requirements.

Research regulatory requirement as needed.

Manage the Agency’s Business Associate Agreements through the
communication, coordination and tracking on the Business Portal. Make
updates as directed by the HIPAA Privacy Officer.

Manage compliance month database. Provide input for compliance
month activities.

As directed by the Associate Compliance Officer, communicate with Supervisors
regarding non-compliance issues.

General Administrative Support:
Provide administrative support to the VP of
Strategy and Organizational Effectiveness and Sr. Director of Human
Resources.

Assist in project management of the all Agency in-service.

Oversee department volunteers and act as a point of contact for
them.

Distribute HR department mail.

Order and stock department office supplies.

Manage department’s petty cash fund.
