General duties include telephone coverage, coordinate arrange customer and external contacts meetings, disseminate and distribute mail for appropriate action, follow-up on status and responses, report and maintain records, contracts and files, ensure that files for the department area are properly documented, and compile information for both internal and external meetings. Create, utilize, and manipulate Excel Spreadsheets, and other Microsoft Office tools including Outlook. Ability to develop and maintain a current knowledge of government, industry, customer and company standards, procedures, policy/rules. Become familiar with NDE requirements and procedures applicable to the repair and testing of rail cars and their components. Be able to make logical decisions and associations, show initiative and be a productive self starter with minimal supervision.
Essential Duties and Responsibilities include the following. Other duties may be assigned, as requested or required.
Gather enroute notifications, Create car files, Obtain rail car information, update the AS400 system, run customer reports, and pull information and update Umler
Interact with internal and external customers to resolve problems and/or handle requests for information
Ensure that timely action is taken on correspondence and telephone calls.
Responsible for planning and coordinating certain department and customer on-site visits.
. Ability to work flexible schedule upon short notice when required
. Proofread and make corrections to reports, spreadsheets, billing statements and other documents.
. Must be comfortable with working in Manufacturing/Production environment and spend time in facility with little or no environmental controls, excessive heat/cold, noise and dirt.
Experience with Microsoft Office, Outlook, and other frequently utilized Manufacturing and Production Software.
Prefer experience and familiarity with Heavy Production and Manufacturing Environment
Post-secondary education or 3 years of work-related experience; or equivalent combination of education and experience.
Knowledge, Skills, and Abilities:
Ability to work well independently and in a team. Shorthand/speedwriting skills are helpful.
Excellent written and oral communication skills required
Strong grammar and editing skills are required
Must be able to handle confidential matters discreetly, work effectively in a team environment with all levels of personnel, including senior management (internal and external)
Handle multiple tasks simultaneously and prioritize tasks based on importance and time frames.
Ability to research and analyze customer information and data to provide useful recommendations for revenue growth
Knowledge of and skill in using personal computer and computer software, including spreadsheets, electronic mail, presentation software, and word processing software.
Ability to collect and compile data, define problems, establish facts, and draw valid conclusions.
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Ability to write legibly.
Ability to communicate with co-workers, management, and business contacts in an efficient, courteous, and professional manner.
Able to travel on a limited basis
