Job Opening - Adminstrative Assistant - Part-Time (Flexible hours)

Basic Function and Responsibility:

Provide administrative support to President, and his direct reports, by performing clerical functions such as preparing correspondence, scheduling meetings, arranging conference calls and travel, organizing and maintaining paper and electronic files, receiving visitors, and providing information to callers.

Work Performed:

Coordinating trade show participation, including registration; preparation and travel accommodations.

Maintain various tracking spreadsheets, including product manufacturing, packaging and release; employee overtime hours and dollars.

Preparing announcements and communicating on behalf of President.

Managing President's mail and phone calls.

Receiving President's visitors and acting as gatekeeper of his office.

Maintaining President's calendar and scheduling conference calls and meetings.

Documenting meeting minutes and following up action items.

Coordinating domestic travel arrangements.

Organizing and maintaining paper and electronic files.

Creating monthly expense reports and tracking reimbursement.

Maintaining order and cleanliness in common areas.

Shopping for and stocking food and drink supplies in boardroom.

Providing miscellaneous administrative support to CEO and Chairman, as requested.

Providing clerical assistance to other departments as needed.

Other duties and assigned projects.

Proficiency in computer applications, including MS Outlook, MS Excel, MS Word, MS OneNote, MS PowerPoint, Adobe Acrobat.

Ability to multi-task and follow through on assignments.

Ability to work and communicate effectively with others, both inside and outside organization.

Strong sense of teamwork, dignity, integrity and respect.


Bachelor of Arts or Bachelor of Science required.

Continued professional development a plus.


At least 3-5 years of administrative assistant experience required.
