Maintains bibliographic and financial records for library services, and maintains the periodical collections. Processes and maintains all appropriate records and files for the acquisition of these items. Responsible for ordering library materials, supplies, and equipment as directed.
Description of Essential Functions:
1. Performs pre-cataloging and/or copy cataloging tasks as required by system procedures and local practice 2. Retrieve bibliographic information from OCLC and uploads as appropriate into the library automation system; 3. Works with the Director and with appropriate system staff to obtain requisite training and skills necessary to maintain library compliance with cataloging standards; 4. Supervises the entry of Library holdings in the shared automated library automation system and performs quality checks on bibliographic records as required and requested; 5. Processes invoices and order records for all items purchased with Library funds, including online ordering with multiple vendors and the use of a college credit card; 6. Maintains budget accounts and reports on internal library records and college administrative information system; 7. Verifies requests for materials, supplies, and equipment, obtain quotes from vendors, and prepares all purchase orders for the Director’s approval; 8. Maintains the shelf list files for inventory and online updating activities; 9. Creates short bibliographic records as needed for course reserves system; 10. Performs critical functions of Library Assistant II and Library Assistant (Technical Services) if necessary; 11. Produces custom reports of library holdings for use by the Director and Information Services Librarian; 12. Establish new acquisition accounts through selected vendors as directed; 13. Verifies receipt of requested items and maintain files on items on back order; 14. Supervises the periodicals collection and the maintenance of a periodicals holdings list; 15. Supervises and evaluates all part-time staff assigned to Technical Services; 16. Corresponds with vendors concerning the status of orders and invoices; 17. Supervises processing of all library materials; 18. Cooperates with appropriate college personnel to publish library acquisitions on the college website; 19. Performs basic repairs on library materials; identifies items needing further external repairs and arranges their shipment and return; 20. Monitors and maintains inventory control for supplies and commodities used by library staff; 21. Completes other related duties as assigned
Specific Functional Job Requirements
Education: Associates Degree Required Experience: Previous library experience preferred. Cataloging or technical services experience preferred. Previous supervisory experience, general office experience, related experience in college setting preferred Knowledge: MARC records and tags, OCLC Connexion software; general office procedures, basic bookkeeping Skills: Excellent interpersonal, oral and written communication, and organizational skills; Microsoft Office applications and office skills as determined through testing; multi-line digital phone system Personal: Detail-oriented, self-starter who enjoys relating to a diverse population of students, staff and public in a fast-paced work environment with multiple interruptions; willing to learn new procedures Works consistently to further the college’s vision and values. Work collaboratively with immediate peers and other departmental areas to support student learning and development. Physical: Ability to access computer screens and electronic records in software packages currently used by the college; ability to input data; ability to lift and transport 50 pounds including moving book trucks and lifting and physical processing of materials
