Tully Rinckey PLLC, a successful full-service law firm with offices throughout New York State, and the Washington, DC metropolitan area is seeking an experienced, technologically savvy Legal Administrator to join our team. The Legal Administrator will be directly responsible for the oversight and day-to-day supervision of all legal support staff in all of the firm’s New York State offices. The Legal Administrator will spearhead specialized and advanced training to ensure understanding of firm guidelines, standards and practices within their respective department. This position will develop short and long-range paralegal and legal support program objectives, initiatives and procedures, implement enhancements, refine systems, and continuously evaluate program effectiveness to ensure the delivery of consistently exceptional support services to the firm’s attorneys and firm clientele. The ideal candidate will have superior customer service and client relations skills and is able train, lead and motivate team members in a fast paced environment.
The Legal Administrator will oversee firm-wide workflow to maximize paralegal and legal support staff resources, participate in the hiring process and select high quality candidates. This position requires regular contact with firm management, attorneys and legal support staff.
Develop and implement strategic and tactical initiatives based on the mission and vision set by the firm’s Founding / Managing Partner and COO.
Work with attorneys and management to proactively assist with work assignments and prioritization of tasks, defining individual responsibilities and balancing workload within the legal support staff group.
Oversee interviewing, hiring, performance appraisal, terminations, discipline, conflict resolution and job assignments for office legal support staff.
Train new legal support staff routinely to ensure that the firm’s technology is used to its maximum potential.
Work with the firm’s finance department and coordinate with support staff and attorneys to ensure bills are prepared and sent out in a timely fashion.
Assist management in identifying process improvements and challenges existing in business and system processes in order to improve the efficiency of the legal assistant/legal secretary management process.
Monitor legal assistant/legal secretary workload and provide management with ongoing reports.
Monitor and evaluates legal assistant/legal secretary work product.
Prepare monthly and annual reports as requested, operate and manage a monthly budget, make recommendation for annual budget requirements for legal support staff, periodic employee status reports, work assignment statistics, and profitability analyses.
Supervise the operation of the mailroom and kitchen/break area.
Responsible for case file management by support staff.
Oversee and assist with placement of office supply orders.
Make bank deposits.
Ensure office area is maintained to include reception, property is accounted for and clean working in conjunction with the Facilities and Vendor Operations Manager.
Ensure business continuity with respect to firm calendaring systems.
Other duties as assigned.
Bachelor’s degree in Business Management or related field.
2- 10 years prior management experience.
Experience in writing and presenting reports required.
Considerable knowledge of organizational structure in professional services firms, business workflows, processes and procedures.
Excellent communication skills and ability to present information in a clear and concise manner.
Frequent travel to the firm’s New YorkState offices is required.
The candidate must be able to multitask and meet deadlines, collaborate, be a team player, detail oriented, client service oriented and understand firm policies and procedures and is able to learn new skills as they become necessary to the position.
Advanced customer service / client relations skills.
Experience confidentially and effectively resolving complex personnel issues.
Understanding of EEO, FMLA, federal and state employment laws as they apply to day to day operations.
Advanced knowledge of Microsoft Office Suite to include Word, Excel and PowerPoint.
