The salary range on this position typically ranges from $38,147.00 (MIN) to $47,684.00 (MID) and is commensurate with skills, experience, and education

WORK CONDITIONS : May be required to work occasional overtime, usually on short notice.

POSITION CONCEPT :

To provide secretarial and administrative support to assigned attorneys and paralegal and occasionally other staff.

DUTIES AND RESPONSIBILITIES

1. General administrative tasks including, but not limited to, the following:

a. Typing and editing documents and composing correspondence.

b. Answering the telephone, taking messages and placing conference calls.

c. Filing and maintaining office records and maintaining office and file security.

d. Arranging meetings and conferences and maintaining calendars.

e. Handling incoming and outgoing mail.

f. Making travel arrangements.

g. Preparing attorney expense reports.

h. Preparing photocopies of documents.

i. Distributing documents by overnight mail and electronic means, including the Boards internet portal.

j. Demonstrating ability to operate a wide variety of office equipment and software.

k. Maintaining electronic organization of documents.

l. Assisting in the response to subpoenas.

m. Other projects as assigned.

2. Assist in the administration of corporate records for TECO Energy and its subsidiaries, including the development, production, and distribution of corporate information lists and the companys organizational chart, maintenance of records on corporate secretary software and sharing of information with appropriate recipients across the company.

3. Assist with preparation for Board and Committee Meetings and the Annual Meeting of Shareholders, including notices, agendas, travel and facility arrangements and reimbursements.

4. Assist with the preparation of Board and Committee Meeting minutes, including researching, typing and proofing, and distributing and recording in minute books.

5. Assist with the development of the proxy statement and other information gathered in preparation for the Annual Meeting of Shareholders, including typing, proofing and researching.

6. Provide administrative assistance on various legal matters involving TECO Energy and its subsidiaries (incorporation, dissolutions, foreign qualification, charter and bylaw amendments, merger filings, etc.), including obtaining electronic filings, preparation of documents and obtaining signatures.

7. Provide administrative assistance and act as backup to the Assistant to the Corporate Secretary on SEC reports on transactions by insiders (Form 4) and Rule 144 compliance for sales, including electronic filings of forms, as well as cover letter preparation, production, distribution and obtaining signatures.

8. Provide administrative support for preparation of corporate secretary certificates and other assistance to support transaction closings throughout the organization.

9. Provide administrative support for payment of director fees and expenses.

10. Assist with renewal of Annual Reports for TECO Energy and its subsidiaries, including updating and organizing officer information and company names, gathering payments and submitting renewals electronically to appropriate Departments of State.

11. Assist with opening of new matters in eCounsel and processing of legal bills.

12. Provide support by acting as departmental records coordinator, understanding archival process, utilizing documents management software and understanding and utilizing records retention schedule.

13. Distribute documents to the Board and others, including Senior Officers, by overnight mail or electronic means, such as the Boards internet portal.

14. Provide administrative support by managing and ordering supplies, while adhering to a budget.

15. Provide support to the Legal Department by receiving and responding to subpoenas, together with the other Legal Specialists in the department.

EDUCATION, LICENSES AND CERTIFICATIONS :
Required: A valid High School Diploma or valid GED.

Preferred: An Associates Degree accredited in accordance to TECO Energy policy (Commissions on Colleges)

REQUIRED SKILLS AND EXPERIENCE :
  • Minimum of 5 (five) years of strong administrative/clerical experience, of which at least three are legal secretarial, preferably in transactional practice.
  • In lieu of legal background, strong administrative experience above the minimum will be considered.
  • Must have excellent typing, written and verbal communication skills. Must have complete mastery in the use of MS Word. Must be able to interface throughout all levels of the TECO Energy organization, with outside counsel and the public.
  • Ability to work successfully with minimal supervision, high stress tolerance and attention to detail are required. Must be able to meet deadlines, often with frequent interruptions. Requires working with highly confidential information and the ability to function as an integral part of the departmental team. Requires professional maturity, self-motivation, and excellent interpersonal, prioritization, organizational and planning skills.
PREFERRED SKILLS AND EXPERIENCE :
  • Familiarity with legal terminology and concepts, as well as demonstrated proficiency with software packages used by Legal Department, is preferred. Transcription and shorthand skills and skills in MS PowerPoint are a strong plus.
