ob Duties and Responsibilities:
Provides secretarial support to the clinical staff including physicians, registered nurse, and LPN in Section of Rheumatology including but not limited to assisting physicians and staff with day-to-day needs, scheduling meetings, faxing, filing, handling maintenance and housekeeping requests, etc.
Answers telephones according to Hospital and Section guidelines - accurately recording names, dates, times, telephone numbers and a clear and concise summary. Consistently triages and delivers all messages in a timely and effective manner.
Responsible for filing documents and monitoring all scanning functions within the Section by scanning and categorizing all incoming clinical documents into the EHR.
Assists Practice Coordinator with daily administrative functions of the section.
Manages patient charts in the EHR NextGen system, as appropriate: ensures that all necessary information is collected and details are accurate i.e. current labs, demographics to activate patient's charts and insurance profiles.
Works closely with payers to obtain pre-authorizations/pre-certifications for specialty services and treatments.
Assists Practice Coordinator with billing responsibilities including: batching inpatient encounters, collecting and posting copayments and referrals for office visits, and performing charge entry in the EHR.
Monitors Work Log to correct billing errors in a timely fashion.
Schedules appointments in NextGen for returning patients and new patients. Completes patient intake form over the phone.
Helps to maintain patient volume by confirming appointments and rescheduling missed appointments in a timely manner.
Updates appointment tracker and manages appointment wait list to effectively increase patient show rate.
Maintains accurate levels of office supplies ensuring availability at all times.
Sorts and distributes mail. Provides front desk coverage when necessary due to absence of staff or as patient schedule demands.
Promptly and effectively handles requests for medical records.
Maintains confidentiality of workplace information according to the policies and procedures of the institution and department.
Performs other duties as assigned by supervisor.
Skills and Abilities:
Proficiency in word processing and automated scheduling system.
Excellent oral, written, and interpersonal communication skills.
Strong organizational skills.
Ability to meet deadlines and responds to unpredictable situations excising good judgment.
Pleasant and professional conduct and appearance in accordance with Hospital and section standards and documented expectations.
Ability to work without supervision.
Ability to prioritize tasks on a daily basis
Training and Education:
High school diploma or equivalent preferred
Three to five years experience in related health care field
Knowledge of medical terminology preferred
