This position is responsible for providing front desk services and assisting with back office duties.


1. Opens the office each morning and locks the office every night.

2. Awareness of physician and nursing assignments. Updates all clinical department changes.

3. Knowledge of Austin Heart departments and functions.

4. Monitors and protects environment from unnecessary turmoil or disruption of proper patient flow and comfort.

5. Verifies demographic data.

6. Maintains work area and lobby in a neat and orderly manner.

7. Assists in coordinating and recording events that may require the attention of other Austin Heart employees and their supervisors; updates Office Manager.

8. Prints daily schedules from computer. Ensures all encounter forms are accounted for and prints out any that are missing.

9. Ensures insurance information is up-to-date; makes any necessary changes and copies new insurance cards.

10. Enters patient's physicians into EMR.

11. Receives payments from patients and issues receipts. Collects patient balances as directed by the Business Office.

12. Balances cash drawer according to Austin Heart policy.

13. Assists Regional Office Manager when needed.

14. Schedules patients for new patient appointments, follow up exams, and ancillary tests.

15. Manages encounter forms by checking for errors, completing any patient payments and direct to the business office within business office guidelines. Marks all no show, cancellation, and rescheduled encounters. Returns incorrect slips to supervisor for correction.

16. Completes deposit slips and deliver to Regional Office Manager.

17. Balances credit card machine daily.

18. Assists with scanning documents into the EMR.

19. Maintains knowledge of medical insurance requirements and physicians on each plan.

20. Maintains patient and records confidentiality at all times.

21. Assists with back office (medical technician) duties when needed. Including EKGs, holters, events, treadmills, rooming patients, entering vitals/medications into EMR and patient call-backs.

22. Manages and tracks orders of any physician ordered testing.

23. Reviews deceased list and notifies physician. Checks the appointment schedule and cancel outstanding appointments if any.

24. Follows established guidelines to answer, appropriately screens and directs all incoming telephone calls.


1. Coordinates activity and patient flow between front desk and clinical area. Answers or assists in answering any issues regarding payment, deductibles, or charges.

2. Checks schedule and completion of charting process.

3. Performs other duties as assigned.

4. Completes required annual OSHA training.

1. Reports to the Regional Office Manager.

2. Regularly communicates with patients, public, vendors and other Austin Heart staff.

3. Communicates with the Business Office to ensure all of patients' paperwork is complete and accurate. Directs all paperwork to the appropriate personnel within Business Office Guidelines.

Frequent mobility and/or sitting required for extended periods of time. Some bending and stooping required. The position may require occasional lifting up to 30 pounds of boxes or paper. The position requires manual dexterity to operate a keyboard, calculator, photocopy machine and other office equipment. The position requires eyesight correctable to 20/20 to read numbers, policies and computer terminals. Requires hearing within normal range for telephone use.

Work is performed in an office environment, at a desk. Employee will have high visibility to Austin Heart customers and constantly interface with the public. Occasional high stress may require dealing with angry or potentially violent people. Must possess the ability to communicate verbally.


EXPERIENCE: Two years' experience in a medical office setting.

SKILLS Knowledge of clinic cash payment policies and procedures.

REQUIRED: Skill with computers, typing and filing. Ability to work effectively as a team member. Ability to communicate clearly. Ability to provide customer service to all Austin Heart Patrons. Ability to maintain confidentiality of sensitive information. Possess knowledge of insurance plans.


OR LICENSE: CPR certificate.
