Under the direction of the Director of Nursing, maintain the medical records system according to the policies and procedures established for the record keeping practices of the facilities. Responsible for ordering, maintaining inventory, stocking and billing of supplies and equipment. Incorporates an understanding of the Mercy mission and values into work performance. Audit the records of the new admissions to ensure completeness, accuracy, and compliance with state and federal regulations. Audit the records of in-house patients, thin and refill charts. Audit discharged patient records and maintain the files according to established criteria. Assist the primary care physicians with their in-house visits. Monitor the frequency of the doctors’ visits, notify them when visits are due, and maintain the doctors’ lists for each nursing station. Assist the consulting physician’s (podiatrist, ophthalmologist, and dentist) with the resident’s consent forms, doctor’s orders, and chart preparation and inform of any unsigned orders. Maintain stock of required Nursing forms and prepare new ADM packages and charts. Order and maintain nursing supplies according to the par levels at each nursing station. Monitor priced changes and obtain credits as needed. Gather and process monthly charge sheets at the close of each month. Set up new charge sheets at the beginning of each month. Maintain an inventory of equipment owned and rented by facility to ensure it is in good operating condition and the location within the facility. Complete an annual inventory at the end of the fiscal year. Organize wheelchair washing and area. Review and validate billing at the end of the month. Monitor the nursing department’s correct use of the bar code system to ensure proper billing. Perform annual inventory. Attend mandatory safety, education programs and in-services.

Must have a high school diploma or equivalent and previous experience in a health field, medical coding, HIPAA compliance. Type 40-45 wpm. Ability to read, speak and write in the English language in an understandable manner.
