Data entry: Set up and manage on-line registration for meetings; inputs information into resource databases.
Filing: Sets up and maintain resource files for hotel properties, speakers and other meeting-related vendors; maintain active meeting notebook files
Meetings Related: Maintain meetings calendars; make travel arrangements as necessary; process direct billing applications for all meetings; send out Meeting Evaluations; Hotel Commission tracking; maintain vendor and speaker databases on Outlook; manage incoming industry publications.
Telephone: Handle calls for Meetings Department, as required
Mail: Opens and processes daily mail delivery for Meetings Department; prepares outgoing mail and overnight packages
Meetings Coordination: Assist Meetings Managers with a variety of assigned meeting coordination tasks, depending on the needs of each account at that time
The candidate must be extremely knowledgeable of Word, Excel, PowerPoint, Outlook and possess the ability to learn new software tools quickly. HTML knowledge, a plus.
Candidate should have an understanding of the Meetings RFP process, and a basic understanding of online meetings registration.
Customer service skills are of primary importance. These skills must be coupled with the ability to deal and communicate with internal and external customers (either in person, on the telephone or in writing). Strong oral and written communication skills.
Candidate must have a working knowledge about the meetings industry. Must be willing to work as part of the meetings team, assisting others when own workload is done.
The candidate must be creative and innovative in problem solving and decision making
The candidate must have the ability to maintain a professional appearance and to project an extremely positive manner. Keeps the highest level of quality, professionalism and integrity with all customers (internal and external).
Must be organized. Be a self-starter, team player. Must be reliable!
The ability to multi-task, keeping priorities on track while receiving new tasks daily
Ability to proof read materials accurately.
