Job Title: Administrative Support Assistant


This position maintains and supports all office functions ensuring facility paper flow and documentation is complete and accurate. The incumbent processes payroll for associates and temporary workers and is responsible for maintaining and updating facility personnel files. This position assists the Regional Human Resources Manager with day to day operations and special projects. The Administrative Support Assistant interfaces with all ARL staff and associates, corporate ARL associates, transportation representatives (truck and rail), manufacturer representatives, and outside vendors.

Essential Duties
  • Processes hourly payroll for facility and generates weekly/monthly reports
  • Daily filing of HR material and updating of personnel files
  • Processes hourly associates’ vacation requests, vacation accrual, payroll rate changes, and benefit enrollments
  • Processes union dues, if applicable
  • Processes unemployment and employment verification forms
  • Completes year end logs
  • May download and apply scanners in support of operations
  • Import and export production totals to respective customer headquarters
  • May ensure proper updates to VIPS
  • Assist management with weekly production reports
  • May research and process Warranty claims
  • Answer phones for facility
  • Perform secretarial duties for facility management team
  • Provide operational support to customer as directed by facility management
  • Prepares rail bills and overland trucking bills
  • Daily load / unload track sheet data entry
  • Reacts to change productively
  • Any duties as assigned
  • A behavior and conduct that maintains a positive work atmosphere by acting and communicating in a manner so you get along with customers, vendors, co0workers, and management
  • Good and regular attendance

Additional Responsibilities
  • Supports Terminal Manager and other management staff in daily clerical needs
  • Provides support and assistance to help the facility and personnel function as a team environment

General Description

Assists the department/staff/customer with daily production paperwork and data transmission needs. Acts as a liaison between facility and AWC corporate office. Assignments, projects, and daily work is carried out in accordance with general work instructions and established through office practices, procedures, and precedents.

Minimum Tools Needed
  • Keys, pens, pencils
  • Computer, printer, photocopier, fax machine, adding machine
  • Handheld radio, radio frequency scanner
  • Ergonomic office equipment provided

Working Conditions
  • Primarily a sedentary position with general office walking, lifting, etc.
  • Occasional local travel may required to attend meetings
  • Overnight and long distance travel if very rare

Chemicals Involved With:
  • Copier and fax toner
  • Printer ink
  • White-out correction fluid and/or tape
  • Household cleaning fluids

Minimum Requirements
  • Excellent verbal and written communication skills
  • Able to remain calm during chaotic and stressful periods
  • High school diploma or equivalent
  • Excellent word processing, spread sheet, and email skills
  • Knowledge of office and business practices, equipment, and procedures
  • Good conflict resolution skills
  • Able to pay close attention to details and identify/correct mistakes
  • Excellent skills interacting with other staff members, outside representatives, and customers
  • Valid driver’s license
  • Must possess good planning, analysis, and organizing skills
  • Ability to delegate work effectively
  • Ability to keep confidential information private
