The Events Coordinator (EC) supports the Development & Events Manager with managing annual revenue goals and expense projections for the organization. Maintains and creates reports for development events and fundraising activities. Execute event logistics for NOCC signature & third party events, and special programmatic projects that deliver on the mission of the organization. This includes acquiring resources and coordinating the efforts of team members and third party contractors or consultants in order to deliver projects according to plan.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Assist Development & Events Manager in managing annual revenue goals and expense projections
Compile and maintain accurate detailed records, and reports for signature run/walk and development activities:
Support, track, and report trade show/conference activities
- Track projected event budgets and resources
- Create, track, and report Run/Walk timelines and logistics
- Create, track, and report vendor timelines and logistics
Provide technical (Kintera/Sphere/CRM, etc.) support to chapters
Assist volunteer & staff with coordination of venue bookings and event contractors to assure information for payment processing, insurance requirements, etc. are received timely
Maintain detailed proposals for events (e.g. timelines, suppliers, staffing and budgets)
Run/Walk reconciliations and Donor analysis
Maintain inventory and storage sites for Run/Walk assets
Coordinate the implementation of Run/Walk and other fundraising event kick-off meetings and post-mortems.
Is accountable for meeting team goals, deadlines, and timelines
Follow best practice standards for events and development department, based on direction from Development & Events Manager
Serve as liaison for volunteer development chair in order to execute "day of" logistics for events and special projects
Create and implement statistical reports structure for expenses, revenue and status updates Oversee accurate administration of events and data management
Coordinate with chapter managers, coordinators, volunteers and other departments on every aspect of the planning and implementation of the Run/Walk to Break the Silence and other key events in multiple designated areas including site selections, logistics, volunteer recruitment, sponsorship, and necessary permits and permissions.
Leverage materials, guidelines, event production and online fundraising tools.
Assist with the development and implementation of the Run/Walk event timeline and benchmarks.
Aid with the management of the year long process of event administration, including but not limited to day of logistics, data entry, acknowledgments, and materials management.
Work with chapter managers, coordinators and volunteers with cultivation and soliciting of past and new team, participant and sponsors.
Assist on other projects and events assigned
Perform other duties as assigned
This position will require some travel to support NOCCs nationwide event activities, national conference, and staff retreats.
EDUCATIONAL REQUIREMENTS AND EXPERIENCE
College graduate with 3-5 years experience planning and executing events or equivalent experience.
Intermediate user in Microsoft Word, Excel, PowerPoint is essential, and Publisher is desirable.
Fundraising and event management database experience with Kintera, and Raisers Edge required.
Project Management proficiency desired.
