About The Port Authority

The Port Authority of New York & New Jersey is a bi-state public agency responsible for promoting transportation and commerce, operating some of the busiest and most important transportation links in the region including bridges, tunnels, bus terminals, airports, PATH, AirTrain systems, and the NY/NJ seaport.

We are currently seeking an experienced part-time Office Administrator for the Port Authority Employment Relations Panel (Panel). Part-time hours will consist of 20 hours per week. The Panel was created by, and functions pursuant to, the Port Authority Labor Relations Instruction to implement and administer its terms that arise between the Port Authority and its employee organizations represented for collective bargaining. Such issues include representation matters, scope of negotiations, mediation, facftfinding and processing and deciding improper practice charges. This position is located at One Gateway Center, Newark, New Jersey.


Reporting directly to the Chairman of the Panel the successful candidate will be responsible for a wide range of confidential secretarial and administrative duties as determined by the Panel including, but not limited to, acting as the central contact point for all information forwarded to the Panel; coordinating high-level, time sensitive and confidential matters; managing incoming correspondence and preparing, reviewing, editing and distributing all outgoing correspondence; scheduling confidential meetings and hearings including coordinating multiple calendars; answering and directing telephone calls and mail; managing and maintaining an extensive paper and electronic filing and follow-up system; preparing and tracking petty cash vouchers and fund; processing invoices and service requests; ordering office supplies and performing other special assignments as requested by the Panel.

Must possess a High School diploma or equivalent with at least 3 - 5 years of full-time paid secretarial/administrative/paraprofessional or professional experience deemed applicable to the position.

  • Excellent interpersonal skills including interacting effectively with individuals at all levels.
  • Demonstrated experience dealing with sensitive and confidential material.
  • Ability to work flexible hours, take initiative, use good judgment and work independently.
  • Possess excellent communication and organizational skills.
  • Ability to prioritize assignments and perform multiple tasks simultaneously.
  • Ability to handle a petty cash fund.
  • Extensive knowledge and experience with Word, Excel, internet and email.
