The Anoka County Human Resources Department has an immediate opening for an Office Support Specialist. This front desk anchor position is the first point of contact for our internal and external customers. It provides administrative support for Human Resources department staff and customer service to all County employees including elected officials and department heads, in addition to job applicants and the general public.
EXAMPLES OF ESSENTIAL DUTIES (ILLUSTRATIVE ONLY):
Customer service-- Front desk anchor position for greeting customers, answering telephones and monitoring department e-mail daily; respond to basic requests for job posting/salary/benefit information, so that pro-active customer service is maintained and daily deadlines are met; distribute incoming mail and other communications; assist with mass mailings, making copies and filing; assist in developing/documenting policies and procedures for use by front desk staff; p rovide training and direction to Human Resources front desk temporary staff.
Job postings and NeoGov support-- Prepare screening sheets for HR Representatives; close job files and scan/attach related items; update Anoka County job line recording and posting boards; schedule oral exams, testing appointments and conference room reservations; prepare iPads for use in oral exams and obtain job applicant signatures; s end Survey Monkey surveys to job applicants and employees completing initial hire probation; b ack-up for preparing postings, registers and lists; back-up for e-recruitment; back-up for maintaining class specs; back-up for administering clerical testing and documenting/ communicating test scores.
Accounting functions and work orders-- Coordinate accounts payable and processing/coding of intra-county transfers; coordinate Purchasing functions including Office Max and other supplies, EZ orders, purchase requisitions and procurement card transactions; submit Facilities Management work orders and Information Technology project requests; maintain office equipment and coordinate service calls as needed; maintain key inventory; coordinate annual fixed assets update.
Payroll support -- Respond to employment verification requests; p rocess job applicant background checks; b ack-up for entering new hires into Oracle/ SunGard; a ssist in copying/delivering payroll items; a ssist in logging annual performance reviews received.
Other administrative support --A ssemble and distribute packets for regular employee orientation, temporary new hires, retirees, exit interviews, etc; m aintain supply of forms/brochures at the front desk; m aintain Human Resources forms on intranet; p rocess Travel and Training forms; b ack-up for preparing weekly staff meeting agenda/calendar; b ack-up for records center submissions/retrievals; o ther duties as assigned.
High school education or equivalent; one to three years related experience.
Knowledge of: Anoka County government and county department functions; Personnel Rules and Regulations; HR/payroll procedures; benefits programs; job posting and applicant tracking system; personnel/payroll system; recruitment/selections policies and procedures; compensation programs and salary schedules; Management Committee and Board meeting procedures; position control and budget system; data practices laws; imaging system for personnel files; time reporting system; general accounting and principles.
Skills: Microsoft Outlook, Word and Excel experience required. Microsoft Access, Adobe Standard and Apple iPad experience preferred. Communication skills in working with the public in person and on the phone.
Ability to: Work as a team member with other Human Resources staff; handle confidential information with discretion and in accordance with Data Practices Act; determine priorities, plan workload and multi-task under tight deadlines; work independently and make appropriate decisions in a prompt, efficient manner; pay close attention to detail; follow verbal and written instructions; provide effective verbal and written communication; provide quality customer service; type a minimum of 40 words per minute.

Salary Range: $32,784 - $47,601 annually; Excellent benefits.
Hiring Range: $32,784 - $33,768 annually.
