SUMMARY: Under the supervision/direction of the Director of Outpatient Services, the Office Manager for the Methodist Counseling Clinic will provide multiple day-to-day clerical and managerial duties to support and maintain the organization and operation of the Methodist Counseling Clinic in order to ensure the quality and efficiency of mental health service delivery to the clients of the Methodist Counseling Clinic and their families.

RESPONSIBILITIES:

1. Provide ongoing support to the staff of MCC.
2. Schedule and coordinate services to the clients of MCC to include, but not limited to:

a. Scheduling initial and follow-up appointments for clients with the therapists and physicians as needed.
b. Conducting reminder calls to clients with scheduled appointments daily.
c. Conducting follow-up telephone calls when clients cancel or do not show-up and track this information to provide to the Director of Outpatient Services on a regular basis.
d. Communicating with therapists and physician regarding any changes in clinic schedules, etc.
e. Verifying insurance coverage and obtaining benefits available to clients prior to admission to MCC and communicate with client and families regarding coverage and benefits.
f. Providing financial counseling with new clients and/or their families including insurance benefits and payment options (sliding fee scale, Claims Fusion, etc.)g. Collect payment including insurance co-payments from clients prior to each scheduled appointment.
h. Maintain up-to-date demographic and insurance information for all MCC clients. Act as Liaison with the MFH Accounting and Billing Departments to include, but not limited to:
i. Provide financial and commercial insurance benefits for MCC clients when the information is obtained.
j. Assist in maintaining MCC’s current provider status in insurance networks including obtaining necessary documentation to add new clinical staff members, obtaining and maintaining provider numbers for clinical staff, etc.

Responsibility is assumed for continuing educational and professional development and
contributions are made to the professional growth of others. Documentation of
continuing education, etc., will be provided to the personnel department and copies kept
in the employee’s record.

QUALIFICATIONS:

1. Bachelor Degree in Business, Communications, or equivalent; or 2 years of college
plus a minimum of 5 years experience in a management/supervisory capacity.

2. Proficiency in Microsoft Office including Excel and be at least familiar with
Microsoft Access, Power Point, and Publisher.

3. Good communication and people skills.

4. Ability as a self-motivator and the aptitude to work in a high stress fast paced
position with a minimal amount of supervision.

Other: The individual employed in this position may accept other reasonable assignments, which may be necessary, for efficient operation of assigned programs as there is time and opportunity.

Note: This position will be evaluated by the Director of Outpatient Services, the Hospital Administrator and/or the MFH/UMBH Executive Committee annually.
