This position is located in Lake Nona/Orlando, FL area. • Participates in required MTM Communication and Care Center operational meetings as necessary; takes and distributes minutes as directed.
• Screens all inbound phone calls and voice mail messages for appropriate action.
• Works with the Director and faculty to ensure MTM Communication and Care Center Quality Management expectations are adhered to at all times.
• Prepares training materials, maintenance of training manuals, calendar management, data entry and monitoring, and documentation retention.
• Handles communication with incoming students and refers student’s questions to appropriate source if needed.
• Maintains student’s files per protocol.
• Arranges travel for department personnel (to include van reservations) and travel reimbursements if applicable.
• Maintains and orders office supplies.
• Prepares outgoing mail and distributes incoming mail/interdepartmental mail.
• Prepares in-office and out-of-office communications.
• Schedules available rooms for various meetings, trainings, and events.
• Covers for Dean’s office as required per rotation schedule assigned by Dean’s office.
• Assist with new hire paperwork, monitoring staff hours, maintenance of personal leave forms; assist with departmental accounting/budget.
• Other secretarial duties as assigned.

Minimum Requirements:
• High School diploma and minimum of three years of work experience.
• Ability to work in a structured, fast paced environment.
• Must be self-directed and possess excellent organizational skills.
• Ability to manage multiple people and priorities simultaneously.
• Experience in a patient care environment preferred.
• High energy, mature, and comfortable working with all levels of professionals, students and patients.
• Articulate and understands how to communicate with seniors over the telephone.

• Strong command of the English language.
• Possess adequate computer and software skills.
• Must be able to articulate information in a clear and concise manner.
