Office Clerk / Receptionist
To use a team approach to deliver truly remarkable service to both our internal and external customers by answering the phones in a professional and positive manner for our sales and marketing office. The receptionist will process the CPL’s (Closing Protection Letters) for the title units, and prepare Legal Vestings on Open Title Orders to our clients.
This position is responsible for preparing and typing all Closing Protection Letters for the title units. Requires the ability to sit for long periods of time. Handle shipping and receiving that comes into the front office. The receptionist is required to assist with the operation of the front desk consisting of inbound call direction, paging, incoming mail and deliveries and general office tasks. The receptionist is expected to display a positive and professional image while directing incoming calls and outside visitors. Process all internal and external customer calls by routing to the proper departments. Be responsive to all internal & external customer inquires in a professional and proactive manner. Building effective internal and external relationships with all internal departments, vendors and clients.
: Ability to organize multiple request and handle rush requests, ability to organize and answer multiple incoming phone calls for multiple companies. Must be able to effectively handle a switchboard and paging system. Excellent communication (both written and verbal). Greet clients with a professional and upbeat demeanor. Ability to operate various types of equipment (fax machine, scanner, email copier). Ability to anticipate and solve problems. Must possess a strong desire to meet and exceed goals. Must have high level of organization and strong attention to detail. Must be comfortable working in a fast-paced, high volume, deadline-oriented environment.
Must have ability to consistently meet deadlines, demonstrate strong follow through and to follow departmental procedures. High School diploma or GED equivalent. Must have PC skills, MS Word, Excel basic Microsoft programs. Must be able to collect and analyze information in order to find creative solutions for solving problems. Excellent interpersonal skills. Must be able to adhere to appropriate company policies and procedures. Must be able to identify internal and external customer requirements and expectations. Must possess excellent follow up skills. Must have excellent oral and written communication skills.
– Prior Title Experience preferred, Previous Receptionist experience
