Using discretion and judgment, provides executive support to Head of US Sales and Relationship Management and Director of Global Client Service and provides general support to their respective teams. Provides operational and administrative support for the groups; compiles and updates management reports as required. Following established procedures, performs a variety of administrative duties which may be complex in nature.
Establishes, maintains and enhances administrative policies, projects and procedures pertinent to the division with managers.
Performs a variety of specialized duties, which may be complex or confidential in nature to ensure smooth and efficient department operations.
Manages the schedules, travel and telephone coverage for the Head of US Sales and Relationship Management and Director of Global Client Service. Completes and tracks expenses, maintains contacts and tracks authorizations and approvals required.
Coordinates team meetings including set up, refreshments, video/conference call details and agendas and minutes as required. Liaises with other departments as required to schedule and execute internal meetings.
Manages department infrastructure, including supplies, invoices and subscriptions, vacation and holiday schedules; express mailings and client filings and other functions to ensure ongoing operations. Maintains departmental calendar to track dues dates, annual mailings and certifications, audits, board meetings etc….
Schedules, coordinates, on boards and trains temporary employees and Co-ops as required.
Uses CRM and dashboard and other sources to create and monitor management reports as requested.
Coordinates on boarding of new employees; systems, seating, security, training agenda, stationery and phone. Point of contact for visiting employees from satellite offices.
Acts as a liaison for Managers while traveling. Responds to requests on a variety of issues to ensure smooth operations.
Performs other duties as required.
Bachelor's degree or equivalent education or experience.
Strong oral and written communication skills.
Project management skills.
Ability to build and maintain productive working relationships with contacts at various organizational levels.
Proficiency in Outlook, Excel, Word and PowerPoint.
Organizational and time management skills to manage multiple priorities and meet deadlines.
Ability to work in high volume, deadline-driven environment.
