Responsibilities:
Answer incoming phone calls in a prompt and courteous manner

Greet visitors in a courteous and professional manner

Responsible for tracking and coding invoices

Responsible for distribution of mail and miscellaneous shipments

Maintain and order supplies

Contact necessary vendors for repair/maintenance of office equipment

Assist in preparation for large meetings/trainings including conference room set up, catering coordination, clean up, etc.

Responsible for general office appearance and organization such as, organization of supply closets, clean up/organization of kitchen, and general appearance of entire office

Coordinate with Property Manager or local contractors for maintenance and repair of miscellaneous issues that may arise

Assist in Coordination large company events

HR Team support: interview travel coordination, employee onboarding, distribution of new hire materials

Assist with scheduling onsite interviews for the New York/White Plains office to ensure on time schedules and a positive candidate experience.

Meet and greet candidates and manage daily interview schedules

Maintain constant communication with candidates, Recruiting team and HR

Facilitate last minute changes with an ability to quickly react to a significant change in the schedule. Adjust travel itineraries for candidates visiting the office when needed.

Assist with ad-hoc Recruiting/HR projects as needed.

Requirements:
Bachelors Degree

Minimum of 2 years office management and/or executive administrative assistant experience required

Strong computer skills to include Microsoft Outlook, Word, Excel and PowerPoint

Strong communication and organizational skills, both written and verbal

Ability to multi-task and prioritize

Experience in scheduling/HR coordination

Proficient in Microsoft Outlook & Web based applications.

Ability to work in an extremely dynamic, fast-paced, results-oriented environment.

Ability to adapt/react to last minute changes in order to solve problems. Highly organized and detail oriented. Ability to perform in the capacity as outlined above with (at times) little to no supervision. Team player, self-starter.
