Courteous and well communicated greeting(s) to students, parents, and visitors. Daily review and timely response to telephone and email messages; Establishment and posting of proper out-of-office notification for band faculty-staff via telephone and email communication, when deemed necessary; Efficient and accurate coordination and communication of schedules, appointments and agendas for-and-between all applicable Band Staff personnel for meetings designed for planning sessions, briefings, debriefings and updates pertaining to performances, rehearsals and band classes, etc. Effective, accurate and timely communication of all essential information regarding lodging accommodations, ground transportation, and/or flight information to appropriate band personnel for performances, recruitment and professional conferences, etc. Effective scheduling and management of assigned and volunteer student work-force; Production of documents accurately utilizing appropriate software available, such as Microsoft Word, Excel, PowerPoint, etc. as follows:
Drafting and/or updating correspondence to recruited students/parents; band staff and other campus offices.
Production of special occasion documents (flyers, programs, etc.). Production and maintenance of Charms and other databases of current information for all band units (i.e. Marching Band, Symphonic Band, Pep-Band, Special Performance units TBA, etc.), current and previously enrolled students, as well as pExamples of Measures for Management of Vital Records Performance:
Acquisition, Maintenance, and Proper Storage of the following:
All relevant records and/or back-up records of all band business, personnel and performances, etc. to include, but not limited to printed programs, which cite the performance(s); promotional literature relating to the performance(s); relevant procurement, accounts payable and budget related documentation and personnel health records, etc. of prospective recruits. Produce scholarship letter and maintain an accurate account of all scholarships being issued and adjusted. Manage all spending and assist the program budget director with all budgetary concerns for the Department of Bands.
Associate degree or some post high school education. Progressive administrative experience required.
Bachelors degree in related field preferred. Strong technical and organizational skiills. Previous experience working in a
university setting highly desired. Excellent verbal and written
communication skills. Must possess the ability to work with diverse populations.
