The American Civil Liberties Union of Nevada (ACLU-NV) seeks an energetic and detail-oriented individual to serve as the organization’s Office Manager. Based in the ACLU-NV’s Las Vegas office, this is a full-time, multifaceted position that includes financial management, benefits administration, human resources, and logistical planning for the Board of Directors and staff. Reporting to the Executive Director, the person in this position serves as a conduit of information among staff members and is essential to the successful internal operations of the organization.

DUTIES AND RESPONSIBILITIES :
  • Financial Management :
Maintain company accounting and ensure the timely payment of bills.

Work with outside accountants on annual audits, tax returns, and revenue sharing between the state and national ACLU offices.

Prepare and present financial reports at quarterly Board meetings.

Work with senior staff members to plan the annual organizational budget.

Assist with tracking of organization’s investments and cash-flow.

Process semi-monthly payroll.

Work with Development Director to maintain donor records and acknowledge gifts to the organization.

  • Human Resources Administration :
Maintain and process personnel files for all employees.

Manage and update information pertaining to employee benefits. Coordinates local benefit programs with national ACLU programs as appropriate.

  • Office Management:
Responsible for oversight of all office activities including but not limited to office equipment, mail, administrative office files, photocopying, archiving, and administrative information systems.

Responsible for information flow in a timely and accurate manner to all departmental and Board requests.

Supervise and organize office work and office clerical employees.

Manage all Information Technology systems. Coordinate with IT consultants. Administer users and content.

Maintain overall professional appearance of office and coordinate with building management.

Coordinate and attend (as required) all Las Vegas-based staff and Board meetings, including the preparation of meeting space and other logistics.

  • Other Duties as Required by the Executive Director:
The Office Manager may have opportunities to assist with public education, outreach & communications, or fundraising activities, depending on the individual’s skills and the needs of the organization.

QUALIFICATIONS :
Bachelor’s Degree required; Master’s Degree in relevant area of study (public administration, nonprofit management) preferred.

Organization and attention to detail a must.

Prior experience with bookkeeping, particularly for nonprofit organizations.

Familiarity with payroll systems, benefits administration, and human resource management.

Strong writing and interpersonal communication skills; should be comfortable interacting with everyone from donors to walk-in office visitors.

Proficiency in MS Office, QuickBooks, and Adobe required, as well as comfort with learning new software programs. Experience with donor databases and network/server management strongly preferred.

Supervisory experience strongly preferred.

Prior nonprofit experience, a passion for civil rights issues, and Spanish-language skills all a plus.

COMPENSATION AND TERMS :
This position is full-time, exempt, with salary DOE. The ACLU-NV offers a generous and comprehensive benefits package, including paid time off, holidays, medical/dental/vision coverage, and an optional employer-matched 401K program.
