We are seeking an Office Manager for our Houston office.
Under the general direction of the [MANAGER], the Office Manager will be committed to providing all support required to make the office staff they are supporting as productive as possible.
Provide all required administrative support including, but not limited to:
All administrative competencies as noted on the attached “Administrative Professional Competencies” list.
Track all information sent from or to the Vice President
Maintain yearly calendar of all meetings and events associated with Berkshire property Advisors.
Preparation of information necessary for meetings
Maintenance of all files associated with the Vice President’s office.
Answer telephones and direct callers to the appropriate individual, taking messages & communicating them as appropriate.
Manage inquiries from external investors/vendors.
Send, receive and distribute mail, faxes and packages for the department.
Schedule and manage travel and expense reporting.
Schedule and manage meetings.
Order supplies.
Produce copies as required.
Process vendor invoices for department and corporate office in a timely and accurate fashion.
Manage flow of information between departments.
Prepare various documents.
Enter data into Excel for reporting purposes.
Manages all supply ordering and maintenance.
Manages event coordination for location.
Supports entire location for administrative needs.

Specialized administrative training beyond high school and at least two years of college or equivalent.
At least five years successful experience supporting executives in an administrative capacity in a publicly traded company.
Ability to create, edit and scale existing historical documents to meet current needs.
The ability to maintain confidentiality is critical, as is the ability to manage interactions among a variety of personalities.
Technical/ Educational Requirements:
Must be proficient in the use of the Microsoft Office suite of products, including, Word, Excel, Outlook, (including the calendaring function) and PowerPoint
